We’re looking for a highly organized, detail-oriented, and proactive Marketing Project Assistant to support our Marketing Project Manager Lead with the day-to-day execution of marketing and creative projects. You’ll work closely with the person leading our marketing projects and support activities involving creator and influencer collaborations, content review, research, marketing quality control, photoshoots, and creative asset management.

What This Role Is Like
This is a practical and varied role for someone who enjoys keeping things organized, paying attention to details, doing research, communicating with people, and making sure tasks get completed properly and on time. One day you might be researching new creators and contacting them about a potential collaboration. The next, you could be reviewing photos and videos, checking marketing materials before publication, updating a tracker, organizing campaign files, or helping prepare an upcoming photoshoot. You won’t be expected to independently manage marketing projects. Your role is to support the Marketing Project Manager Lead and help keep tasks organized, accurate, and moving forward.

Work Location
This position is 100% onsite from our office in Gdynia, Poland. This is not a remote or hybrid position.

What You’ll Do:
Creator & Influencer Collaboration:
  • Research and identify creators and influencers for potential brand collaborations.
  • Review creator profiles and content to assess their fit with the brand.
  • Contact creators and manage day-to-day communication.
  • Share collaboration requirements, content guidelines, deadlines, and publication details.
  • Follow up on missing information, content, or overdue deliverables.
  • Keep collaboration statuses, links, deadlines, and other details organized and up to date.
Photo & Video Content Review:
  • Review content delivered by creators, models, and other partners.
  • Check whether submitted materials meet agreed requirements and brand standards.
  • Verify that all required shots, formats, products, and other elements are included.
  • Identify missing, incorrect, or low-quality materials.
  • Keep track of requested revisions and final deliverables.
Marketing Content Quality Control:
  • Review marketing materials before publication, including emails, ads, website content, visuals, and promotional materials.
  • Check copy, links, images, formatting, product information, and other important details.
  • Spot errors, inconsistencies, and missing information before materials go live.
  • Help ensure final materials are accurate, complete, and ready for publication.
Research:
  • Conduct research based on current marketing and creative needs.
  • Research creators, influencers, competitors, trends, products, campaigns, and visual references.
  • Find products, props, accessories, clothing, and other items needed for marketing projects or photoshoots.
  • Organize findings in a clear and practical format.
  • Support the team with ad hoc research as new needs arise.
Photoshoot Support:
  • Help organize and prepare marketing photoshoots.
  • Communicate with models regarding availability and scheduling.
  • Support shoot-date coordination and logistics.
  • Research props, accessories, clothing, and other items needed for shoots.
  • Help make sure everything required is prepared before the shoot.
Content & File Management:
  • Organize photos, videos, creative assets, project documents, and marketing files.
  • Maintain clear folder structures and make sure materials are stored in the correct locations.
  • Keep trackers and project information up to date.
  • Prepare simple reports and summaries when needed.
  • Make sure the team is working with the latest versions of files and materials.

What We’re Looking For:
  • English at C1 level or higher - required.
  • Excellent organizational skills and strong attention to detail.
  • Ability to keep track of multiple tasks, deadlines, and follow-ups at the same time.
  • Strong research skills and the ability to find relevant information independently.
  • Clear and professional written communication.
  • Confidence communicating with creators, influencers, models, and other external partners.
  • A proactive approach — if something is missing, delayed, or incorrect, you notice it and follow up.
  • Ability to work carefully with guidelines, checklists, and established processes.
  • A good eye for detail and the ability to spot mistakes or inconsistencies in marketing materials.
  • Confidence working with spreadsheets, shared documents, folders, and online tools.
  • Reliability, accuracy, and willingness to learn.

Nice to Have:
  • Previous experience in marketing, social media, e-commerce, administration, or an assistant role.
  • Experience working with creators, influencers, models, or external partners.
  • Familiarity with Instagram, TikTok, YouTube, and other social media platforms.
  • Interest in marketing, content creation, photography, branding, influencer marketing, or e-commerce.
  • Experience using Google Sheets, Excel, or project management tools.
