This is an open examination.  To be eligible under this position all applicants must be a high school graduate or possess a G.E.D.must be a U.S. Citizen or have a permanent resident card and be at least 18 years of age.

Performs basic clerical duties:  answer telephones; transfer calls and takes messages; greet people coming into the office; types correspondence; files correspondence and other City documents; data entry; may respond to customer inquiries; processes routine paperwork; performs basic record-keeping activities; may perform cashiering duties; may process collection activity on delinquent accounts; may enter data via computer to generate customer bills and work orders or to process paperwork; performs other clerical duties as required. 

I.  May enter data via computer terminal to generate customer bills and work orders or to process paperwork. 

       a.         Receives, reviews, and enters information to City files.  

       b.         Updates City files with information obtained from customers, City employees, and other sources.

       c.         May enter adjustments to account files or other records.  

       d.         Adds special fees to files, accounts, or other records as indicated by work orders or City procedures.

II.  May respond to customer inquiries.

      a.         Obtains information from various sources regarding accounts, problems, etc., from phone calls, written inquiries, or in-person visitations.

      b.         Performs necessary research from City records via computer terminals or City files.

      c.         Explains and responds to customer inquiries by phone, by letter, or in person.

      d.         Corrects City records based on established guidelines or as instructed by supervisor. 

III.  Processes payments from customers.

     a.         Receives and records payments in person or by mail.  Issues necessary paperwork and receipts.

     b.         May use cash processing equipment to apply payments to proper accounts.

     c.         May prepare payments for deposit.

    d.         May issue refund of overpayment with supervisor's permission.

 IV.  May compile and maintain accounting records.   Performs accounting activity which may include the preparation of various ledger reports or other accounting reports of records, necessary for the proper maintenance of departmental information.

    a.         Writes or types information from bills, receipts, or other documents, copying information from one source to another.

    b.         Periodically reviews records to ensure that they are accurate and current.

    c.         Makes changes as needed to make records accurate and complete.

    d.         Reviews records to retrieve information of past transactions.

 V.  May process collection activity on delinquent accounts.

    a.         Contacts by phone, by letter, or in person those customers whose accounts are in arrears.

    b.         Generates appropriate documentation via computer terminals to establish or discontinue City services.

VI.  Performs basic clerical duties.

   a.         Types correspondence.

   b.         Answers telephones, transfers calls, and takes messages.

   c.         Files correspondence and other City documents.

   d.         Performs other clerical duties as required.  

This is a two-part examination consisting of a typing exam and a written exam. You must successfully pass both portions of the examination to be considered eligible. The typing requirement is 40 words per minute (WPM).

The written examination will consist of general knowledge questions on clerical practices to include: English Usage, Office Procedures, Punctuation and Capitalization, Letter Writing Techniques, Math, Proofreading, Reading Comprehension, Microsoft Suite, and other related areas. 

A 70% passing point will be used.


REPEATING AN EXAM
Per OAC Rule 123: 1-9-01, an applicant who has competed in a civil service examination cannot repeat that examination or take an examination for the same classification within FOUR MONTHS from the date of original examination, unless an alternative form of examination is given, or unless other standards are specified in the examination announcement.

RATING
Your name will be placed on a list of eligible candidates upon receiving a passing score. Once the list has been established, your name will remain on the list for a period of one (1) year.

IMPORTANT NOTICE TO VETERANS
As provided in ORC 124.23C, any person who has completed service in the uniformed services, who have been honorably discharged from the uniformed services or transferred to the reserve with evidence of satisfactory service, and who is an Ohio resident and any member of a reserve component of the armed forces of the United States, including the Ohio National Guard, who has completed more than 180 days of active duty service pursuant to an executive order of the President of the United States or an act of Congress of the United States may file with the director a certificate of service or honorable discharge (DD-214 – Long version), and upon this filing, the person shall receive an additional credit of twenty percent (20%) of the person’s total grade given in the examination in which the person receives a passing grade.
A member in good standing of a reserve component of the armed forces of the United States, including the Ohio National Guard, who successfully completes the member’s initial entry-level training shall receive a credit of fifteen percent (15%) of the person’s total grade given in the examination in which the person receives a passing grade.

Pursuant to Civil Service Rules applicants are hereby advised that the position of employment being examined for is subject to a drug test. Accordingly, eligibility is not considered final until drug testing has been successfully completed with a negative result.
