Position Summary
As a member of the professional staff, contributes specialized knowledge and skills in a discipline (e.g. Accounting, Finance, Human Resources, Global Technology, Resort Operations, Marketing & Sales etc.) area to support team and/or department business objectives. Generally, works under limited supervision, but within established guidelines, producing and analyzing more complex business information to assist in the decision-making process.
The Senior Manager, Event Marketing (the “Senior Manager”) will be responsible for leading the execution of the Owner Events Channel strategy. The position oversees the Inner Circle Events platform, which encompasses Owner Events Packages, Headlining Events (e.g. the concert series), and onsite recurring Marketing events. This position owns and drives the Owner Events Packages programming and will partner with site-based Directors of Marketing, Marketing Managers, and Event Managers / Coordinators for Headlining Events and onsite recurring Marketing events to achieve and/or exceed tour and revenues budgets.
The Senior Manager ensures that all marketing and logistic plans across all brands are aligned with enterprise best practices, ensuring all corporate brand standards are maintained. All Event execution shall comply with applicable Brand and Legal standards.
This position will be based at the MVW Headquarters in Orlando, or at an alternative Corporate or Regional M&S Office.
Expected Contributions
This position will oversee the Owner Events Channel Execution in the following areas:
Inner Circle / New Channels
Identify, design, and execute new experiential event concepts for Inner Circle/Eventful, including private concerts, celebrity and entertainment experiences, culinary programs, Owner cruises, and sports-related events.
Coordinate and execute events from planning through post-event completion.
Manage event budgets and associated costs, ensuring accurate forecasting, expense tracking, and invoice payment and reconciliation for talent and venues.
Serve as the primary liaison between event stakeholders, entertainment talent, agents, managers, production teams, and venue partners.
Facilitate event logistics, including talent scheduling, accommodations, backstage requirements, and event timelines.
Liaise with the Law department to develop contracts and is responsible for executing these contracts for entertainment talent, venues, and event partners, including negotiation of fees, deliverables, and performance terms.
Manage talent-related budgets and associated event costs, including appearance fees, travel stipends, accommodations, hospitality, production requirements, and contractual obligations.
Manage talent communications to ensure clear expectations, seamless event participation, and exceptional talent experiences.
Develop and maintain detailed run-of-show documents, production schedules, and event marketing materials.
Partner on event-day operations with site Marketing team, ensuring all talent, and vendors remain aligned to program objectives and timelines, including meet-and-greet experiences.
Connect talent teams with venue production teams to coordinate rehearsals and sound checks.
Partner with leadership teams to deliver engaging audience experiences and high-profile entertainment programs.
Collaborate with leadership teams to deliver unique, engaging event experiences across Inner Circle pillars which create memorable private experiences that are aligned with strategic event objectives.
Monitor event success metrics, collect feedback, and provide recommendations for continuous improvement.
Ensure compliance with company policies, contractual obligations, and brand standards throughout all event activities.
Channel Planning & Execution
Leads and manages the planning, development, and production of events and promotions for sites in conjunction with Site Marketing Managers/teams and the designated agency/vendor. Partners with site Marketing Managers and/or other designated vendor partners as needed for collateral, communications, photography etc.
Oversee the execution of events in partnerships with site Event Managers / Coordinators to review scheduled events and troubleshoot potential problems/conflict.
Supports the AVP to ensure that brand and regional business initiatives are implemented and communicates follow-up actions to team as necessary.
Participates in developing marketing and event plans and has an integral role in in coordinating action plans, timelines and logistics.
Consult with site to determine objectives and requirements for events such as meeting space and food and beverage needs.
Communicates event details for site.
Ensures that any communications materials created are up-to-date with marketing communications and identity standards
Identifies event and initiates project request form and financial brief.
Submits approved package to RSDOM.
Ensures event meets established RISK & COVID compliance guidelines.
Gets usage of Points/StarOptions approval from VP of Marketing Operations and VP of Product Development.
Initiates Creative process and obtains brand and legal approval.
Secures necessary rooms with IRM.
Creates and executes standalone emails to promote events to owners.
Participates in strategic planning for event needs for domestic markets.
Prepares creative work plans for material development, coordinates printing and electronic marketing distribution plans.
Conducts comprehensive research and participates in site visits and contract negotiations as required.
Promote brand awareness and message uniformity within all events.
Creates an atmosphere in all event management operations areas that meets or exceeds guest expectations.
Owner Cruise Planning & Execution
Leads site Marketing team on Owner cruise plans and has an integral role in selecting sailings, executing action plans, timelines and logistics for Owner cruise.
Initiate project request form/creative process for promotional and transactional Owner cruise emails, landing pages and print materials for Owner cruises.
Assist with creation, approval and execution of promotional and transactional Owner cruise emails.
Assist with obtaining brand, risk and legal approval of all Owner cruise materials (emails, print materials, web pages).
Generate suppression files for vendors and communications teams for bookings and marketing emails for Owner cruise.
Generate booking reports and audit Owner cruise bookings against vendor reports.
Generate materials in support of the Owner cruise to ensure Owners have needed information on the inclusions of the sailings and itinerary.
Business Partnership
Develop working relationships with:
outside vendors and establishes prices and service agreements to enhance the event experience and to increase additional revenue opportunities for the site.
cruise ship partners to enhance these experiences for our Owners, and to increase additional revenue opportunities for the site teams.
Ensures that regular, ongoing communication is happening in all areas of event / Owner cruise operations.
Integrates promotional efforts with marketing, eCommerce.
Manages event website with Third-Party web host.
Builds and maintains critical relationships.
Maintains close communications with site Marketing teams and cruise providers, the Creative / Brand & Digital team for all supporting materials for Owner cruise.
Liaise with the Risk Management team to obtain approval for vendors and appropriate certificates of insurance (COIs) as required.
Partners with the law department on all materials in support of events and Owner cruises, and collaborates on efforts to grow these channel.
Confirm room availability with Inventory team.
Works with Owner Services on:
marketing events via the Insider and Spotlight.
on Owner cruise setup needs
Clearly communicates and coordinates tasks, event or Owner cruise information amongst several departments: Law, Brand & Digital, Resort Sales and Services, Human Resources, Marketing, Finance, the Warehouse, etc.
Systems
Maintains accurate and up–to-date event activity, tracking, and budget data/reports using appropriate systems.
Measures and report success of events to stakeholders using relevant tools.
Manages WorkFront creative requests for Owner cruise.
Maintains Event Progress Report.
Creates effort codes.
Provides event results and reporting to all stakeholders.
Maintains Events Marketing Website:
Ensure website is current.
Creates new tiles and landing pages.
Directs Website team on all updates and modifications.
Ensures contract obligations are adhered to and event expenses are in line with established budgets. Develops expense tracking and reporting for every project, which will determine the following year’s events/programs budgets.
Measures and report success of Owner cruise to stakeholders using relevant tools.
Maintains Owner cruise setup process (TSW and DGSun form) and tracking.
General Department Operations

Education
Bachelor’s degree in Hospitality management, public relations, marketing, business or communications - Marketing/Advertising concentration preferred.
Experience
Six to eight years’ experience managing vacation ownership on-site marketing programs.
Minimum of five years’ experience in event planning preferred.
Proven experience delivering effective communications that deliver against our strategies, on time and on budget.
Skilled writer and editor.
Timeshare/Hospitality/lodging industry experience a plus. MVW-specific knowledge, an advantage.
Working knowledge of the financial reporting of marketing channels an advantage.
Skills/Attributes
Demonstrated ability in conceptualizing, planning, organizing and implementing multi-faceted marketing campaigns.

Working knowledge of space planning, audio visual planning, food and beverage planning, meeting space to rooms ratios, transportation services, email marketing.
Intermediate level of proficiency in Office 365 suite of applications, especially SharePoint, Yammer, Sway, OneDrive, and OneNote.
Intermediate level of proficiency in Microsoft Word, Excel, and PowerPoint.
Ability to communicate effectively at all levels of the organization.
Excellent active listening, verbal and written communication skills.
Ability to maintain confidentiality and integrity when dealing with sensitive issues.
Must be able to travel, work weekends and long hours during events.
During events, must be physically capable of enduring long hours in a fast-paced environment involving extensive walking/running, pushing/pulling boxes and other equipment as needed.
