Heavy Civil Construction Project Coordinator (Hermosa Mine)

HEAVY CIVIL PROJECT COORDINATOR
The Project Coordinator owns the administrative workflow and document coordination for the project, freeing the PM, CM, and PE to focus on managing and executing the work. This role is the backbone of project documentation, reporting, and administrative process — ensuring that information, records, and reports move accurately and on time. This job is located on-site at the Hermosa Mine (Office Trailer)
KEY RESONSIBILITIES
- Prepare and submit daily and weekly manhour and equipment-hour reports, compiling field data into accurate, consistent tracking
- Prepare weekly project update reports, including project description narrative and site photos, for internal and client-facing distribution
- Prepare environmental reporting in compliance with permit and regulatory requirements, coordinating with the PM/CM and environmental compliance staff to ensure accuracy and on-time submission
- Prepare, format, and distribute other recurring project reports (production, safety, progress) using data provided by the field team
- Ensure all project documents are properly distributed, filed, and accessible to the PM, CM, and PE without them having to chase down paperwork
- Maintain compliance documentation (MSHA/OSHA records, training certifications, safety meeting sign-offs) and ensure files are audit-ready
Qualifications
- 2+ years of experience in project administration, document control, or project coordination — construction, mining, or heavy industrial environment strongly preferred
- Advanced proficiency in Microsoft Excel is essential to this role
- Strong organizational skills with the ability to manage multiple reports, logs, deadlines, and document streams simultaneously
- Clear written and verbal communication skills for coordinating across field, office, and client-facing roles
- Ability to work on an active mine site, including compliance with site safety requirements (site-specific safety training, PPE, and potentially MSHA certification)
