Regional AP/Project Accountant

Midway Mechanical Services is seeking a Regional AP/Project Accountant to support our growing Pacific Northwest operations.
This is an excellent opportunity for an accounting professional who wants to build a career in construction and project accounting while initially taking on significant responsibility for accounts payable and job-cost accounting.
In the beginning, this position will have a strong focus on accounts payable, invoice processing, vendor relationships, job-cost allocation, and accounting support. As Midway continues implementing new systems and standardizing accounting processes across our operating companies, the responsibilities of this position will evolve toward a broader Project Accountant role.
Over time, you will work closely with Project Managers, Operations, and Finance to monitor project financial performance, job costs, budgets, forecasts, WIP, and profitability.

What You'll Do
Accounts Payable & Job-Cost Accounting
Initially, you will play an important role in supporting accurate and timely accounts payable and job-cost accounting activities, including:
- Review, code, and process vendor invoices accurately and timely.
- Assign invoices to the appropriate jobs, phases, cost codes, and general ledger accounts.
- Review invoices for proper approvals, purchase orders, supporting documentation, and accuracy.
- Research and resolve invoice discrepancies and coding issues.
- Assist with vendor payment processing and respond to vendor inquiries.
- Track and maintain lien waivers, retainage, subcontractor documentation, and compliance records.
- Maintain accurate AP and job-cost records.
- Assist with month-end AP close, accruals, and account reconciliations.
- Review job-related expenses and ensure costs are recorded accurately and timely.
- Work with Project Managers and Operations to resolve job-cost and invoice issues.
- Support 1099 reporting and other year-end accounting requirements.
Project Accounting & Financial Analysis
As Midway implements new systems and standardizes accounting processes across its operating companies, this position will increasingly transition into broader project accounting responsibilities, including:
- Maintain accurate project job-cost records and monitor project expenses.
- Prepare and analyze project cost reports for Project Managers and Operations leaders.
- Assist with Work-in-Progress (WIP) reporting and percentage-of-completion accounting.
- Assist with project accruals and month-end close activities.
- Review job-cost timecards and labor allocations.
- Monitor project budgets, committed costs, purchase orders, subcontract agreements, and change orders.
- Partner with Project Managers to analyze budget variances and project performance.
- Assist with project forecasting and identifying potential financial risks.
- Analyze project costs and profitability throughout the project lifecycle.
- Support accurate revenue, cost, and margin reporting.
- Assist with retainage and subcontractor accounting.
- Maintain accurate supporting documentation for financial reporting and audits.
- Collaborate with Finance and Operations to improve project financial performance and profitability.

Required Qualifications
- 3+ years of accounting or accounts payable experience.
- Experience with invoice processing, account coding, reconciliations, job costing, or general accounting functions.
- Strong attention to detail and ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Excel, including Pivot Tables and VLOOKUP/XLOOKUP.
- Experience using an ERP or accounting system such as NetSuite, QuickBooks, SAP, Oracle, or similar platforms.
- Strong analytical, organizational, and communication skills.
- Ability to work effectively with accounting, operations, vendors, and project management teams.
Construction, mechanical contracting, HVAC, or project-accounting experience is strongly preferred but not required for the right candidate.
Preferred Qualifications
- Experience with project accounting, job costing, or construction accounting.
- Experience in commercial construction, mechanical contracting, HVAC, plumbing, refrigeration, or another project-based industry.
- Experience with construction accounting software such as Davisware Vision, NetSuite, Vista, Foundation, Sage, or similar ERP systems.
- Experience with Work-in-Progress (WIP) reporting and percentage-of-completion accounting.
- Knowledge of lien waivers, retainage, subcontractor compliance, and 1099 reporting.
- Experience supporting multiple companies, locations, or regional operations.
- Familiarity with construction job-cost structures, cost codes, project forecasting, and budget management.
- Bachelor's degree in Accounting, Finance, or a related field.
