Description

Ontic, a leading licensor and manufacturer of complex engineering parts for the global aerospace and defence industries, is recruiting for an Office Manager & Personal Assistant to the Site General Manager to join our team at our Staverton site.

This is a varied and highly visible role at the heart of the site, combining the day-to-day management of our office environment with trusted PA and administrative support to the General Manager and wider Site Leadership Team.

The Role

As Office Manager & PA to the Site General Manager, you will play an important role in ensuring the smooth and effective running of the Staverton site.

You will provide proactive, professional and confidential support to the General Manager, helping them to manage their time, priorities, meetings and communications effectively. Alongside this, you will take ownership of key office-management activities and provide administrative support to the wider Site Leadership Team.

This role would suit someone who is highly organised, proactive and comfortable operating in a fast-paced environment where priorities can change quickly. You will be confident working with senior stakeholders, use sound judgement and discretion, and enjoy being the person who makes things happen.

Key Responsibilities

  • Provide comprehensive PA support to the Site General Manager, including proactive diary management, meeting coordination and prioritisation of appointments.
  • Act as a key point of contact for the General Manager, liaising professionally with internal and external stakeholders and handling sensitive or confidential information appropriately.
  • Coordinate leadership meetings, off-sites and on-site events, including venues, invitations, agendas, catering, logistics and supporting materials.
  • Maintain the Site Leadership Team calendar and help coordinate key site meetings, events and business activities.
  • Support the General Manager with meeting preparation, presentations, reports, research, correspondence and follow-up actions.
  • Attend key meetings as required, producing accurate and professional minutes and ensuring actions are recorded, communicated and followed through.
  • Manage reception activities and provide a professional and welcoming first point of contact for visitors to the site.
  • Manage office supplies and stationery, maintaining appropriate stock levels and ensuring office areas are organised and well maintained.
  • Coordinate incoming post, deliveries and other office administration in partnership with the Facilities team.
  • Support office layout planning, office moves and workplace changes, ensuring effective communication and engagement with relevant stakeholders.
  • Provide direction and prioritisation to the Facilities team where required to ensure planned maintenance activities and office requirements are completed effectively.
  • Chair or coordinate committees responsible for employee and site-wide events, including planning meetings, recording minutes and ensuring agreed actions are delivered.
  • Support the administration of company fleet and pool vehicles, liaising with providers and maintaining effective processes for MOTs, tax, documentation, renewals and associated records.
  • Build strong relationships with Office Managers, PAs and Executive Assistants across Ontic globally, creating opportunities to share best practice and improve ways of working.
  • Provide wider administrative and organisational support to the Site Leadership Team as required.

Knowledge, Skills & Experience

Ideally, you will bring:

  • 3–5 years' experience in an Office Manager, PA, Executive Assistant or similar senior administrative role.
  • Experience supporting a senior leader, ideally within a fast-paced operational, manufacturing, engineering or corporate environment.
  • Excellent diary management skills, with the ability to prioritise competing demands and make effective use of senior leaders' time.
  • Strong organisational and planning skills, with exceptional attention to detail.
  • A proactive and resourceful approach, with the confidence to use your own initiative and find solutions.
  • Excellent written and verbal communication skills, with the ability to adapt your style for different audiences and stakeholders.
  • Confidence working with senior leaders and external stakeholders at all levels.
  • High levels of professionalism, discretion and confidentiality.
  • Strong meeting-management skills, including agenda preparation, accurate minute taking and action tracking.
  • Excellent administrative and record-keeping skills, including document management, filing, correspondence and diary coordination.
  • Strong Microsoft Office capability, including Outlook, Teams, SharePoint and Microsoft 365.
  • A high level of competence in PowerPoint, Word and Excel.
  • The ability to remain calm, flexible and focused when priorities or workloads change.
