Description
Essential Job Functions Include
- Provide a high level of customer service and support as a main point of contact for employees and the general public.
- Answers, assists, directs, and/or provides information to respond to inquiries either on the phone or in person.
- Completes accounts payable, invoice processing, and project expense tracking and documentation responsibilities.
- Coordinates and completes department payroll data entry and processing and while assisting with other personnel functions in the department.
- Utilizes various work order, human resources (payroll) and customer service software for the purpose of entering and tracking service requests for other staff members and the public.
- Assists in general office support functions including procurement, filing, data entry, and correspondence.
Required Knowledge, Skills and Abilities
- Ability to effectively meet and deal with the public; adapt to changing priorities, handle stressful situations, maintain confidential information and multitask is essential.
- Graduation from a high school or GED equivalent with specialized course work in general office practices, such as typing and 10 key entry (keyboarding), filing, accounting, and bookkeeping; and
- Three (3) years of increasingly responsible related administrative assistant experience, or any equivalent combination of related education and experience.
- Proficiency with database applications and administration systems, including Microsoft Office. Ability and willingness to learn HR-payroll software as well as other municipal-based financial and asset management software.
- Must possess attention to detail and have the ability to prioritize work.
- Must hold a valid Illinois Driver’s License.
- Bilingual skills are desirable.
Salary and Benefit Information
This is a full-time, 40-hour per week position with an excellent benefit package, including health, dental and life insurance, IMRF pension, vacation time, paid holidays and sick days. The full salary range for this position is $64,105 - $92,955. The anticipated hiring salary range is $64,105 - 70,000. This is an in-person position at Public Works during regular business hours of 7:00 am to 3:30 pm, Monday through Friday. The Village offers a full complement of benefits, including paid vacation, sick and holiday time, participation in health insurance and the Illinois Municipal Retirement Fund (IMRF) as well as additional optional benefits.
