Job Description
We are seeking an experienced and proactive Estate Manager to oversee the operational management and strategic performance of a prestigious mixed-use portfolio in the heart of Dublin city centre. This is an exciting opportunity to manage a diverse estate comprising office, residential, common area, and redevelopment assets totaling approximately 324,000 sq ft. The successful candidate will play a pivotal role in delivering exceptional property management services, maintaining strong occupier and stakeholder relationships, ensuring statutory compliance, driving sustainability initiatives, and supporting significant refurbishment and redevelopment projects. Working closely with asset managers, consultants, contractors, and occupiers, you will help ensure the portfolio operates efficiently while supporting its long-term growth and value.
Key Responsibilities
Property & Estate Management
Lead the day-to-day management of a mixed-use property portfolio.
Conduct regular estate inspections and property audits.
Maintain accurate lease, tenancy, and asset records.
Manage occupier relationships and deliver exceptional customer service.
Coordinate lease events, renewals, break options, and dilapidation matters.
Oversee tenant onboarding and offboarding processes.
Communicate effectively with occupiers, owners, and stakeholders.
Building Operations & Facilities Management
Manage planned preventative maintenance and reactive maintenance programmes.
Oversee contractor performance across cleaning, security, waste, M&E, and specialist services.
Ensure effective delivery of facilities management services.
Coordinate estate-wide operational improvements and best practices.
Manage common areas, parking facilities, and estate amenities.
Capital Projects & Refurbishment
Act as the operational lead for refurbishment and redevelopment activities.
Collaborate with project managers, engineers, surveyors, and consultants.
Support landlord capital projects and occupier fit-out works.
Monitor project progress, budgets, and operational impacts.
Health, Safety & Compliance
Ensure compliance with all relevant statutory and regulatory requirements.
Manage risk assessments, safety reviews, and compliance records.
Oversee fire safety, asbestos management, water hygiene, and legionella programmes.
Coordinate inspections, testing schedules, and incident investigations.
Maintain robust compliance documentation and reporting.
ESG & Sustainability
Lead sustainability and environmental initiatives across the estate.
Monitor energy, water, and waste performance.
Support ESG reporting and certification programmes.
Drive occupier engagement initiatives focused on sustainability and wellbeing.
Promote supplier compliance with ESG standards.
Financial & Commercial Management
Support annual budget preparation and forecasting.
Monitor service charge expenditure and performance against budget.
Review contractor costs and procurement activities.
Assist with financial reporting, rent collection, and arrears management.
Ensure compliance with financial governance procedures.
Stakeholder & Client Management
Serve as the key operational contact for clients and asset managers.
Build strong relationships with occupiers, owners, consultants, and service providers.
Prepare management reports and operational updates.
Provide recommendations to enhance asset performance and occupier experience.
Knowledge & Experience
Essential
Minimum of 3 years' experience managing commercial or mixed-use property portfolios.
Strong understanding of property management practices and operational excellence.
Experience managing multi-tenanted office environments.
Knowledge of service charge budgeting and financial management.
Proven experience managing contractors and third-party service providers.
Strong understanding of health, safety, and building compliance requirements.
Excellent communication, relationship-building, and stakeholder management skills.
Ability to manage multiple priorities in a fast-paced environment.
Desirable
PSRA Licence.
Membership of SCSI and/or RICS.
Experience supporting refurbishment, redevelopment, or capital projects.
Knowledge of ESG reporting, sustainability initiatives, and environmental best practices.
Experience managing both office and residential assets within a mixed-use portfolio.
Education & Qualifications
Degree, diploma, or equivalent qualification in Property Management, Real Estate, Facilities Management, Surveying, or a related discipline.
Professional property qualification desirable.
PSRA Licence preferred.
Membership of SCSI and/or RICS advantageous.
Relevant health and safety or facilities management certifications are beneficial.
