About the Role

We are seeking an experienced Leasing Specialist who will be responsible for building a prospect pipeline and delivering exceptional community engagement at the Keys at Wildwood community. This role is essential to driving traffic, generating qualified leads, and driving our Leasing Professional in achieving occupancy goals.  


The Lease-up Leasing Specialist reports directly to the Property Manager, and is expected to make teamwork and customer service their top priority.


Location: The Keys at Wildwood,  3905 Bahama Drive, Oxford, FL 34484 

Salary: $17 - $22 per hour plus commissions (base salary is based on experience)

Schedule: Full Time, 40 hours per week. Leasing office hours are Monday thru Friday 8:30am - 5:30pm and Saturdays 10am - 3pm. Flexible schedule and Saturdays required. 


Key Responsibilities

 


  • Maintain daily traffic logs, phone logs, and follow-up
  • Greet customers and tour apartment community while listening to and focusing on customer’s preferences
  • Demonstrate amenities, apartment homes, pricing, and close leases
  • Process incoming lease applications, run credit verifications, track all prospective tenants, and follow up on all leads
  • Maintain an acceptable closing ratio as directed by Property Manager
  • Prepare lease documentation and conduct lease signings
  • Coordinate all move-ins, move-outs, transfers and lease renewals to achieve maximum occupancy and resident retention
  • Minimize vacancy loss by securing leases within 5 business days of move-out
  • Generate prospect traffic through marketing efforts: community outreach, resident referrals, and property tours
  • Shop the competition and assist with preparation of leasing reports and sales and marketing plans
  • Assist Property Manager in achieving net operating income and occupancy goals
  • Act in accordance with all fair housing laws

  • Responsible for all lease administration duties
  • Monitor collections and coordinate default proceedings
  • Partner with the Director of Marketing on creation and execution of strong local marketing efforts and campaigns
  • Ensure compliance with Property Management Policies and Procedures, codes, regulations, and governmental agency directives
  • Supports and participates in fulfilling the customer service and leasing standards. Responds to resident requests promptly and courteously and provides solutions to resolve resident issues
  • Assists in preparing all paperwork specific to new and renewal lease agreements. Determines lease renewal rates and assist in delivery of renewal letters to secure renewals
  • Reviews resident files and accounting records to determine unpaid and/or late fees owed, communicate with residents regarding outstanding balances, implement procedures for collecting on delinquencies, and enforce the lease to maximize revenue
  • Identifies areas for improvement and improve the efficiency, productivity, and profitability of the community
  • Collects, posts, and deposits rents/security deposits and other community income on a daily basis
  • Leads the maintenance and management of budgeted occupancy, collections, and expenses
  • Independently establishes priorities, manages time effectively, and fulfills assigned objectives and projects
  • Responds to and resolves unexpected problems and handles priority changes in a fast-moving environment
  • Comprehends legal documents and carry out related rent collections and lease management.
  • Completes financial records, budgets, and other fiscal reporting.



Outreach

  • Execute outreach campaigns via phone, email, and door-to-door to generate qualified leads
  • Maintain activity logs: track calls, emails, doors knocked, and all prospect interactions
  • Book showings with qualified prospects; provide all details to Leasing Professional
  • Manage social media presence (3x per week) to increase community engagement and visibility.
  • Maintain professional communication standards representing Atrium and Keys at Wildwood

Leasing Responsibilities

  • Greet and welcome prospects; conduct community tours and model apartment walkthroughs
  • Have complete knowledge of the apartment community and competition in the area
  • Listen to and focus on customer preferences; demonstrate floor plans, amenities, pricing, and lease terms
  • Capture and log all prospect information accurately in AppFolio
  • Maintain a welcoming leasing office: clean, organized, stocked with marketing materials
  • Generate traffic through community outreach efforts and resident referral programs
  • Support community events, open houses, and leasing initiatives as directed

Office Hours & Administrative Support 

  • Follow-up communications, data entry, prospect tracking, and preparation for weekend showings

 

Requirements

  • Minimum 


A successful candidate should possess:

  • Minimum of 6 months experience leasing at a multi-family apartment community
  • Excellent communication skills & great attention to detail
  • Desire to work as a team with ability to work independently on occasion
  • Experience with property management software (Appfolio, Yardi, Tenant Turner, Knock, Property Meld, etc)
  • Strong computer skills: Microsoft Office, Email, Gmail/Google Workspace, and social media as it pertains to marketing of community
  • High school diploma (some college preferred)
  • Excellent customer service and work ethic, a positive and energetic attitude, and passion for working with people!

Additional notes:

  • Real estate license is a nice to have, but not a requirement
  • Reliable transportation required
  • This is a commission-based sales/marketing opportunity - weekends are required (flex time provided)
  • Bi-lingual (English/Spanish) is a plus but not required.


What We're Looking For

  • Experience: An understanding of property operations with emphasis on lease terms to support contract enforcement, including collections. The proven ability to provide excellent customer service resulting in resident retention.
  • Soft Skills: Highly organized with excellent time management skills. Skilled in conflict resolution, client satisfaction, negotiation and handling difficult conversations.
  • Tech Skills: Computer savvy (Office/Google Workspace). Familiarity with Appfolio, Property Meld or similar property management systems is a plus!
  • Mindset: Self-disciplined, positive, energetic and resourceful, hands-on, adaptable, and dependable. Team oriented but able to work independently.
  • Bi-lingual (Spanish-speaking) candidates are highly encouraged to apply!
