Coordinates assigned activities with City departments, outside agencies, the general public, and City Council.
Provides information, reports and assistance to internal and external customers.
Prepares and delivers presentations on a variety of topics to City Council and the general public.
Project planning and development by conducting research, preparing project charter/scope and developing budgets. Develops RFPs/RFQs, develops consultant evaluation criteria and bidding procedures, verifies contract expenditures and compliances.
Researches and drafts technical reports, project plans, studies, memorandum, press releases, meeting minutes and project status reports.
Works with local, state and federal program areas relating to various departments as assigned.
Facilitate project team meetings and assists with meetings for the community at-large, advisory boards and city council.
Handles inquiries and requests from the public, City Council and other departments; provides general and specialized information regarding assigned functions that require the use of judgment, tact and sensitivity and the interpretation of policies, rules and procedures. Maintains a log of all City Council requests and ensures updates are provided by City staff on a regular basis.
Provides administrative support for the Chief of Staff
Assists with the archival of contracts and records for the City Manager’s Office
Assists with contract/document management for the City Manager’s Office
Performs other related duties as assigned.
Strong written and oral communications skills, experience preparing presentations, coordinating inter-department/inter-agency projects and strong skills in building and maintaining working relationships at all levels is required.
Must possess and maintain a valid state driver's license with an acceptable driving history.
Additional RequirementsBackground investigation, including supervised drug screen, post offer/pre-employment medical screen, and verification of education, certifications prior to employment.

MINIMUM STANDARDS:
SUPERVISORY CONTROLS: The Chief of Staff assigns work in terms of goals and objectives. The work is reviewed through conferences, reports, and observation of office activities.
GUIDELINES: Guidelines include city ordinances, state codes, the city policies and procedures, and supervisory instructions. These guidelines require judgment, selection, and interpretation in application.
COMPLEXITY: The work consists of varied management duties. Frequent interruptions and strict deadlines contribute to the complexity of the position.
SCOPE AND EFFECT: The purpose of this position is to assist the Chief of Staff in the management of special projects. Successful performance in this position results in the completion and success of major projects in a timely manner
PERSONAL CONTACTS: Contacts are typically with co-workers, department heads, other city employees, elected and appointed officials, attorneys, vendors, contractors, and members of the general public.
PURPOSE OF CONTACTS: Contacts are typically to give or exchange information, motivate personnel, provide services, resolve problems, justify decisions, and negotiate and settle matters.
PHYSICAL DEMANDS: The work is typically performed while sitting at a desk or table.
WORK ENVIRONMENT: The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY: This position has functional supervision over assigned staff.
