Job Summary
The Assistant Project Manager is responsible for supporting Project Management staff in coordinating and supervising construction activities across assigned projects, both in administrative and field roles. This individual will serve as a key resource to ensure projects are completed safely, on time, and within budget while meeting quality expectations. The role includes assisting in pre-construction tasks, jobsite support, logistics coordination, and documentation. Duties may also include site inspections, layout support, estimating assistance, and working with internal departments and external partners.
Essential Job Duties/Responsibilities
- Picks up and delivers materials, tools, and equipment to various job sites
- Sources and procures supplies from vendors, suppliers, or local retailers
- Performs minor layout duties (e.g., layout of traffic control signs, white line areas for utility locates)
- Takes and submits photos for project documentation (e.g., white line locates, end-of-project photos)
- Helps clean completed job sites (e.g., pick up materials, remove signage, pull survey stakes, sweep sidewalks)
- Performs general errands and site coordination tasks to support Project Managers
- Assists with required inspections such as:
- Traffic control devices
- Stormwater / Erosion control
- Confirms quantities on projects by visiting sites and measuring items of work
- Assists with verifying sites are ready for Brooks' work and checking grades of previous work
- Assists with pre-construction activities, including:
- Field office setup
- Bulletin board creation and setup
- Borrow/disposal site submittals
- Quality Control Plans
- Assists sales/estimating team with quantity takeoffs for quotes on smaller projects
- Begins reviewing contracts, specifications, and drawings to gain document familiarity
- Assists in meetings with foremen on sites under the guidance of other Project Managers
- Serves as vacation coverage for other team members as assigned
Other Duties/Responsibilities
- Assist others in department as needed.
- Perform other related duties as assigned.
Required Skills and Abilities
- Strong attendance, punctuality, reliability, and work ethic
- Willingness to work evenings, weekends, and extended hours when needed
- Valid driver's license and ability to travel within a 70-mile radius of the home office
- Compliance with company Drug-Free & Alcohol-Free Workplace policies
- Ability to wear personal protective equipment (PPE) as required
- Comfortable in a fast-paced environment with minimal supervision
- Demonstrated ability to learn quickly and follow procedures
- Team-oriented with independent problem-solving skills
- Demonstrated ability to work under the oversight and direction of other Project Managers
- Willingness to observe and learn construction techniques and how to read specs/contracts
- Demonstrated ability to read and understand blueprints (or willingness to learn)
- Flexibility in managing multiple priorities within tight time constraints
- High degree of accuracy, thoroughness, and attention to detail
- Excellent interpersonal communication skills-both oral and written
- Analytical and decision-making abilities
- Proven dependability, organization, and adaptability skills
- Ability to develop proficiency in key software programs-such as MS Outlook, MS Word, MS Excel, accounting software, Bluebeam, and the internal dashboard-through training provided by other Project Managers and/or formal classes
Education and Experience
- High School Diploma or GED required
- Minimum of 2 years' experience in a construction environment OR successful completion of a construction internship program
- Previous hands-on experience in horizontal/civil construction is highly preferred
Physical Requirements
- Lifting/Carrying: Up to 50 lbs. frequently
- Pushing/Pulling: Up to 50 lbs. frequently
- Driving: Regular driving of automatic and possibly standard transmission vehicles
- Movement Requirements: Frequent standing, walking, bending, squatting, kneeling, twisting, and occasionally reaching above shoulder level, climbing and crawling
- Use of Hands: Frequent use of hands for grasping, handling materials, and occasionally keyboarding
Working Environment
- Works in a combination of office and field environments (50/50)
- Ability to work in adverse conditions, including rain, snow, extreme heat or cold, water, mud, dust, etc.
- Frequent interaction with internal team (Project Managers, Foremen, Superintendents, Estimators, Safety, Accounting) and external contacts (vendors, subcontractors, customers)
