Job Title: Benefits Manager
Department: Equity, Culture and Talent
Reports to: Director of Culture and Talent
FLSA Status: Exempt
Location: Indianapolis, IN.
All Office-based staff spend a minimum of three working days per week at their local Lumina office.
Salary Range: $96,000 - $105,000
Final pay is commensurate with experience.

Purpose
The Benefits Manager is responsible for the administration, compliance, and continuous improvement of Lumina’s employee benefits programs, and supports core people operations systems to enable a high-quality employee experience and strong operational execution across the employee lifecycle. This role serves as the primary owner of benefits administration, ensuring programs are delivered effectively and compliantly.
Working both independently and in close partnership with the Director of Culture and Talent, this role partners closely with Finance, Legal, and IT to ensure alignment across benefits administration, compliance, systems, and employee data.
This role supports the ongoing strengthening of Lumina’s total rewards operations through consistent execution and the refinement of Lumina benefits, rewards and recognition programs along with related system-driven processes that promote consistency, clarity, and scalability, while ensuring practices are administered consistently and accessibly, with attention to diverse employee needs.

The Role
Benefits Administration & Delivery
Leads and oversees the day-to-day administration and delivery of Lumina’s benefits, rewards and recognition programs, ensuring accuracy, responsiveness, and strong employee experience.
· Manage end-to-end administration of all health and welfare, retirement, and ancillary benefit programs
· Serve as a primary point of contact for employee questions, issue resolution, and benefits education, ensuring information is clear, accessible, and responsive to diverse employee needs
· Partner with brokers, carriers, third-party administrators, and external benefits consultants to ensure effective service delivery and support program management, compliance, and decision-making
· Lead open enrollment planning and execution, including system readiness, communications, and employee support
· Oversee benefits eligibility, enrollments, changes, and terminations across systems
· Manage benefits billing, reconciliations, and coordination with Finance and Payroll
· Monitor trends and identify opportunities to improve benefits delivery and employee experience
· Identify opportunities to streamline and standardize benefits processes, improving consistency, efficiency, and the overall employee experience
Benefits Compliance & Governance
Ensures all benefits programs are administered in compliance with applicable laws and internal governance practices.
· Coordinate required filings and compliance activities (e.g., Form 5500, nondiscrimination testing, audits)
· Maintain and update plan documents, SPDs, and required notices
· Track compliance deadlines and ensure timely completion
· Stay current on applicable laws and regulations and ensure operational alignment
· Support required benefits and rewards audits to meet Lumina’s stewardship responsibilities
Benefits Design & Continuous Improvement
Partners with the Director of Talent & Culture, Vice President for Equity, Culture and Talent, and external advisors and consultants in the process of continuous review, design, and improvement of Lumina’s total rewards structure.
Related HR System(s) Administration
Responsible for the technical operation of the Human Resources Information System (HRIS) related total rewards administration. Ensure data integrity, facilitate open enrollment, maintain compliance (e.g., ACA, COBRA), and leverage technology for automated, accurate HR processes.
· Serve as primary owner of the HRIS (e.g. Paylocity), ensuring data accuracy, system functionality, and effective workflows
· Develop, document, and continuously improve standard operating procedures (SOPs) to ensure consistency and clarity in how work is executed and support equitable and reliable employee experiences
· Lead onboarding, offboarding and leave administration processes (e.g., FMLA) in partnership with internal stakeholders
· Oversee personnel file management and document retention processes
· Ensure accuracy and integrity of employee data across HR systems and benefits platforms
· Identify and implement improvements that streamline and standardize processes, strengthening day-to-day people operations in partnership with the Director of Culture and Talent and key stakeholders
· Partner cross-functionally with Finance, IT, and Legal to ensure alignment across systems and processes
· Other duties as required by continuous process improvements and systems changes
Employee Experience & HR Support
Supports a positive and well-supported employee experience through accessible tools, resources, and operational support.
· Maintain and update relevant HR resources and tools available to staff (e.g., intranet/Hub)
· Assist in onboarding experiences and other employee-facing initiatives
Supervision
· May oversee contractors, consultants, or temporary staff supporting benefits or HR operations
· Manage relationships with external vendors and service providers
Requirements
Formal Education or Equivalent
Bachelor’s degree or equivalent experience required
Relevant Experience
A minimum of five years of relevant experience, including direct, hands-on ownership of employee benefits administration (health and welfare and retirement programs), with a track record of managing programs end-to-end and improving processes or systems.

Work Environment and Physical Demands
