Essential Functions (Principal Duties and Job Responsibilities):
- Assist with the oversight of the evaluation processes for all phases of the medical education program, utilizing various software tools with integrated tracking system for monitoring and compliance status.
- Create and maintain evaluation forms to ensure alignment with key quality standards.
- Implement the plan for gathering feedback on course and curriculum quality, informing faculty, professional staff, and students of the process and importance of gathering timely feedback.
- Assist curriculum/course coordinators with timely dissemination of evaluations during and at the end of each unit, course, and clerkship.
- Schedule, deliver, and collect evaluations as needed to support the team.
- Load rosters, manage demographic imports, and build schedules of courses in technological systems.
- Provide reports that guide continuous quality improvement and include measurable outcomes.
- Ensure measures are in place that capture important information regarding quality of teaching, assessment of learning outcomes, as well as monitoring quality metrics such as supervision of required clinical experiences, inpatient and outpatient experiences, duty hours, etc.
- Manage timelines and logistics ensuring deadlines are met and data is disseminated in a timely manner
- Ensure that academic quality and performance standards and targets are met.
- Ensure the curriculum map is aligned with the Education Program Objectives (EPOs), verified by faculty and education leaders.
- Facilitate the delivery of a well-designed curriculum that effectively delivers core content and essential skills by tracking the curriculum map.
- Account for the impact of the curriculum on student achievement and on the EPOs, through periodic reports, under the guidance of the Director
- Collaborate with faculty to track the implementation of curriculum changes and ensure alignment with EPOs and improvement goals.
- Serve as the central point of contact for the Curriculum Committee, effectively communicating about the role of this committee, its membership and activities.
- Maintain organized records of meeting minutes, proposals, policies, and updates for easy access by members.
- Prepare comprehensive agendas in consultation with the committee chair and draft accurate and professional minutes to document discussions, decisions, and action items.
- Coordinate the scheduling of the meetings of Curriculum Committee and Subcommittees, ensuring timely communication of meeting dates, times, and locations to all members.
- Assist the committee in maintaining compliance with accreditation and professional standards by monitoring and updating curricular requirements as needed.
- Liaise with faculty, students, and administrative staff to gather feedback on curricular decisions and ensure effective coordination of initiatives.
- Support the Medical Education leadership group during its regular meetings, as well as retreats, working groups, and task forces that support the work of the Curriculum Committee and Department of Medical Education and Office of Curriculum Evaluation & Effectiveness.
- Function as a stakeholder communication liaison between education leaders, IT staff, and software platform providers associated with the OCEE.
- Collaborate with the software provider for any technical support, upgrades, and new features.
- Provide training to educators, students, and staff on how to use platforms effectively; and communicate updates, best practices, and system changes.
- Become the local expert on educational software platforms and troubleshooting, solving problems, managing issues effectively to provide technical support and address user concerns.
- Performs other related duties as assigned.
Knowledge, Skills and Abilities Required:
- Experience, knowledge, and skill working in an office environment and utilizing computers in the conduct of work with knowledge and experience using Microsoft Office 365.
- Experience, knowledge and skill with student information systems (i.e. Banner, Workday), learning management systems (i.e. Blackboard, Desire2Learn, Moodle, Canvas), and Health Professional evaluation systems (MedHub, OASIS, Evalue, etc.)
- Experience, knowledge, and skill working with data in Excel (advanced skills) and Power BI
- Operate audiovisual equipment and web-based conferencing systems (MS Teams, Zoom, etc.)
- Develop and maintain record keeping systems, in compliance with FERPA standards for student confidentiality.
- Ability to work with confidential information
- Ability to plan, schedule and coordinate various educational activities
- Ability to establish and maintain an effective working relationship with students, staff, and faculty members.
- Ability to work with minimum supervision, deal with several complex tasks, and should possess the ability for creativity and innovative ideas.
- Initiative and flexibility to deal with situations as and when they arise.
- Ability to be a competent project manager and demonstrate the ability to manage a team of staff, drawing on previous experience where appropriate.
- Extensive experience of working in a team-oriented, collaborative environment.
Knowledge, Skills, Abilities Preferred:
- Experience specifically with Workday, MedHub, and Blackboard.
- Experience with curriculum design and mapping.
- Experience and knowledge of LCME accreditation standards
Education and Experience Required:
- Bachelor's degree with one to three years of relevant experience in educational settings
- Project management and leadership experience
- Candidates must demonstrate experience with or a commitment to Meharry’s institutional values and mission
Education and Experience Preferred:
- Master’s degree in Education
- Additional training in curriculum development
- Health profession or medical education experience
