A. Position Purpose

Santa Clara University, a Jesuit and Catholic institution located in the heart of Silicon Valley, seeks an experienced and collaborative professional for the position of Sr. Associate Director of Transfer Admission in the Office of Undergraduate Admission. The University is committed to enrolling a diverse and talented community of transfer students who contribute to the academic excellence and mission of the institution.

Reporting to the Assistant Dean of Admission & Outreach, the Sr. Associate serves in a leadership capacity and will be the centralizing manager of a comprehensive transfer admission plan. The position will help the office think creatively and strategically, from recruitment, selection, and yield, to operations and communications. They will lead a data driven approach to a team responsible for managing and supporting recruitment and yield events, visitors and customer service initiatives and on-campus community engagement efforts related to transfers. The position also plays a critical role in fostering partnerships with community colleges and other external organizations while ensuring that prospective transfer students receive comprehensive support throughout the admission process.

The Sr. Associate will advance this comprehensive, multi-faceted plan that will achieve annual enrollment goals while integrating event management, marketing and communication, technology, programmatic strategies, tactics and resources, and cultivating liaisons with strategic University departments/groups. The ability to quickly assess barriers to the organization's effectiveness and issues that challenge performance at the highest level and diplomacy coupled with the conceptual disposition to think both broadly and pursuing the steps needed to bring ideas to fruition are necessary for success. 

The will position involve managing community college relations and a designated U.S. geographic territory to enroll a diverse, academically strong new student population of transfers, first-years, and international students. The Sr. Associate Director guides prospective students, families, and counselors through the transfer admission process, manages 1-3 direct reports, and oversees staff training, transfer application evaluation, and event coordination. As a member of the mid-level management team, this individual also plays a key role in contributing to and implementing departmental policies and procedures.

B. Essential Duties and Responsibilities

Recruitment and Outreach (35%)

  • Serve as a primary point of contact for prospective transfer students, community college representatives, providing guidance and support throughout the inquiry, application, and enrollment stages. The position primarily focuses on transfer student populations, and will also provide some guidance and support for all incoming new student cohorts as required by the admission cycle.

  • Lead in the planning, coordination, and execution of outreach and recruitment activities including campus visits, virtual events, college fairs, and information sessions, both on and off-campus.

  • Manage designed events, ambassador and visitors service program budgets; develop reports and analysis measuring impact of programs and activity. Recommend changes as needed.

  • Meet with prospective transfer students to guide them on the admission process, transfer credit completion, and guiding their pathways towards admission/enrollment at the University. 

  • Participate in the rotation of office responsibilities including group presentations, advising sessions, and inquiry management.

  • Foster and uphold collaborative partnerships with community colleges, academic advisors, and partner organizations to raise awareness and support Santa Clara University’s transfer pathways and programs.

  • Create and implement marketing and communication materials designed for transfer audiences across multiple platforms in alignment with the University and division’s strategic marketing plan. Consult with Director of EM Marketing & Strategy for marketing guidance. 

  • Develop and maintain templates, databases, and systems that support transfer recruitment efforts.

  • Serve as a Slate-CRM administrator for building and maximizing transfer related events and communication. 

Admission and Evaluation (35%)

  • Lead coordination and collaborate with the Admission team to review and evaluate US and international applications and academic records, contributing to selection, yield, and matriculation strategies for transfer students.

  • Support the development of and maintain transfer articulation agreements and course equivalency guides in partnership with academic departments and external institutions. 

  • Lead implementation of transfer pathways and course mapping related to majors, working collaboratively with the Registrar’s Office and academic departments. 

  • Provide academic advising to prospective transfer students regarding course selection and transfer preparation. Train and update staff on changes of policies and procedures related to transfers. 

Student Support and Retention (25%)

  • Partner with internal and external stakeholders to lead, plan and implement programs that promote transfer student engagement, retention, and academic success, including workshops, conferences, summits and other gatherings. Develop a transfer visit program. 

  • Provide individualized and group advising to prospective transfer students, supporting their academic, personal, and career goal development through a holistic advising approach.

  • Proactively connect students with appropriate campus resources, advisors, faculty, and staff to address specific academic or personal needs and remove barriers to success.

  • Design and sustain a monitoring system that tracks student progress and offers continual guidance to ensure alignment with educational plans and successful transfer outcomes. 

  • Collect, analyze, and summarize data on transfer recruitment and yield activities to inform strategic planning and decision making.

  • Serve as a collaborator in “Servingness” initiatives for transfer, first-year, and international student recruitment and enrollment plans.

  • Make recommendations to senior leadership for improvements and needs related to transfer marketing, communications, and services support.

  • Recommend intra- and interdepartmental policies, guidelines, processes and procedures to senior leadership team.

  • Periodically evaluate and analyze workflows of Transfer services and communication related to all aspects of the transfer recruitment cycle including inquiries, campus visits/events, and other specialized requests and engagement strategies to ensure a quality prospective transfer student experience. Collaborate with admission office staff members to assign appropriate teams, programs and projects to maintain accuracy and quality control of transfer programs and messaging.

Additional Responsibilities (5%)

  • Participate in Enrollment Management programs and events, which may require evening and weekend availability.

  • Represent Santa Clara University at regional and national conferences, workshops, and professional associations related to transfer enrollment and higher education access.

  • Provide backup support to other members of the Admission team as needed.

  • Serve on other University working groups and ad-hoc committees as assigned, including the SCU Transfer Advisory Group.

  • Perform additional duties as assigned in support of the Jesuit and Catholic mission of Santa Clara University.

C. Required Qualifications

  • Bachelor’s degree from an accredited institution.

  • 5 years of experience in higher education admission, student affairs, outreach, or a related field. Direct experience in transfer admission is highly desirable.  

  • Comprehensive understanding of transfer admission processes, recruitment strategies, and student support needs.

  • Demonstrated experience in team leadership and staff development. 

  • Excellent written and oral communication skills, with demonstrated ability to engage diverse audiences effectively.

  • Strong organizational and project management abilities, with the capacity to manage multiple priorities simultaneously.

  • Demonstrated ability to work collaboratively in a team-oriented environment.

  • Proficiency with technology platforms, CRM systems, and virtual engagement tools.

  • Possession of a valid driver’s license with a satisfactory driving record and the ability to travel as required.

D. Preferred Qualifications

  • Experience working with transfer students or in partnership with community colleges.

  • Knowledge of best practices in higher education recruitment, equity focused outreach, and student success initiatives.

  • Experience with data analysis and reporting to inform enrollment strategies.

  • Commitment to and understanding of the mission and values of a Jesuit and Catholic institution.
