Summary:

The Project Coordinator, Culture & Engagement is responsible for coordinating and executing work-place culture initiatives and employee engagement & recognitions projects across Freedom Mortgage call center locations. While based on-site at an assigned office, this role provides support across several locations, ensuring a consistent employee experience and successful execution of company initiatives while driving efficient administrative processes. This individual contributor serves as a trusted partner to Sales Leadership, Human Resources, and internal support teams by coordinating and executing various culture-related initiatives. Additionally, this role coordinates with vendors, maintains office administrative collateral, and maintains and reconciles budgets and inventory. The ideal candidate is a proactive, solutions-oriented professional who thrives in a fast-paced environment, exercises sound independent judgment, and requires minimal direction to successfully prioritize competing responsibilities.

Essential Job Duties and Responsibilities:

Multi-Site Office Operations & Administration

  • Oversee inventory levels for snacks, beverages, office supplies, and other workplace essentials across multiple sites by coordinating with on-site contacts to ensure timely replenishment and accurate billing reconciliation.

  • Coordinate office administration activities including vendor relationships, facilities requests, workplace maintenance, I.T. issues, and operational office needs, exercising independent judgment to prioritize requests and resolve issues in support of business objectives..

  • Coordinate workspace assignments, onboarding logistics, office moves, and seating arrangements with department leadership to support operational efficiency and business needs.

  • Partner with site leadership to prioritize operational needs and ensure consistency in workplace standards across all supported locations.

  • Reconcile purchasing card transactions and invoices, track expenses, and identify budget variances while ensuring compliance with company financial policies.

  • Maintain a clean, organized, professional, and welcoming workplace environment.

Event Planning and Execution

  • Coordinate employee events, leadership meetings, town halls, recognition programs, and engagement activities across supported locations.

  • Coordinate event logistics including venues, catering, vendors, equipment, scheduling, communications, and attendee experience.

  • Coordinate on-site support contacts across locations.

  • Develop event agendas, presentations, and promotional materials exercising judgment to ensure messaging, content, and delivery align with business objectives and audience needs.

  • Anticipate and address operational challenges by analyzing available options, making informed decisions, and implementing solutions that support business objectives.

  • Support executive leadership visits and ensure a seamless employee and guest experience.

Project Coordination

  • Partner with Senior Project Coordinators and business leaders to execute culture initiatives while independently managing day-to-day project activities across multiple locations.

  • Coordinate and execute culture, engagement, and operational projects across multiple call center locations, ensuring projects are completed on time, within scope, and within approved budgets.

  • Coordinate multiple concurrent projects and priorities across several office locations, exercising independent judgment to adapt to changing business needs and ensure successful execution. Track all expenses according to internal processes, reconcile purchase cards and invoices with accounting. Escalate concerns and budget variances to the appropriate leaders

Employee Engagement & Workplace Culture

  • Coordinate and execute engagement initiatives that foster a positive, inclusive, and high-performing workplace culture.

  • Champion Call Center Sales culture by promoting contests, recognition initiatives, and employee events across multiple locations.

  • Maintain seasonal and promotional office décor.

  • Coordinate employee recognition activities including birthdays, anniversaries, contests, and other special occasions.

  • Maintain a visible, approachable presence both in person and virtually.

  • Partner with cross-functional teams to align culture initiatives with organizational goals.

  • Gather and review employee feedback, identify trends, and recommend enhancements to employee engagement programs, workplace culture initiatives and the overall employee experience.

Communication and Collaboration

  • Assist in developing and distributing internal communications supporting employee engagement initiatives, company events, workplace announcements, and culture programs.

  • Promote engagement initiatives through email, intranet, digital signage, social media, and other internal communication channels.

  • Build collaborative relationships with Sales Leadership, Operations, Human Resources, and other internal cross-functional partners.

  • Provide exceptional customer service while supporting employees and leaders at all organizational levels, including executive leadership.

Other Job Duties and Responsibilities:

  • Performs other related duties as assigned.

  • Must be within commutable distance to a Freedom Mortgage call center office location and must be willing to work in the assigned office regularly to meet business dictated needs.

  • Must be available to attend off-site events during non-traditional working hours as needed.

  • Occasional overnight travel may be required.

  • Comply with all company policies and procedures.

  • Maintain regular and punctual attendance.

Supervisory Responsibilities

This position is an individual contributor with no direct reports but may provide guidance, leadership, or training to others.

Qualifications

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Experience supporting multiple office locations or geographically dispersed teams preferred

  • Experience executing projects and coordinating support from outside groups such as vendor management, facilities operations, and information technology.

  • Experience maintaining budgets, purchasing and expense reconciliation and inventory management.

  • Strong organizational, planning and creative problem-solving skills with the ability to manage multiple projects simultaneously, often with conflicting priorities

  • Detail-oriented with a focus on accuracy and quality of work.

  • Excellent written, verbal, and interpersonal skills

  • Proficient with Microsoft Office Suite

Education and/or Experience:

  • Bachelor’s degree preferred.

  • At least 2 years’ experience in project coordination, office management, event planning, employee engagement, hospitality, or a related field.
