Job Description:
Controller – Property Management is responsible for overseeing:the financial administration of the assigned property portfolio,
ensuring the accurate processing of lease-related transactions,
budget control, financial reporting, and tenant account management.
The role partners closely with Property Managers, Finance, Construction, and Business Development teams to ensure financial accuracy, compliance with company policies, and effective cost control while supporting business performance through insightful reporting and analysis.
Key Responsibilities
Lease & Tenant Financial Administration
- Monitor lease agreements, including rent reviews, indexation, amendments, service charges, and financial settlements.
- Issue accounting documents (invoices, debit notes, credit notes) in accordance with lease agreements.
- Manage utility billing, allocation, reconciliation, and settlements.
- Review and process supplier and operating cost invoices.
- Monitor tenant balances and coordinate collection activities for outstanding receivables.
- Process and reconcile bank statements related to tenant payments and financial settlements.
- Prepare and execute bank payments in accordance with internal procedures.
- Maintain accurate financial records for the assigned portfolio.
CAPEX / OPEX Budget Management
- Support the preparation of annual CAPEX and OPEX budgets for the assigned properties.
- Monitor actual expenditures against approved budgets and identify variances.
- Prepare monthly budget tracking reports, forecasts, and reforecasts.
- Monitor purchase orders, commitments, accruals, and budget utilization.
- Perform variance analysis and provide recommendations for cost optimization.
- Ensure capital and operational expenditures are accurately allocated and recorded.
- Work closely with Property Managers, Construction, Procurement, and Finance teams to maintain budget discipline.
- Support investment tracking and capital project reporting.
Financial Reporting & Analysis
- Prepare monthly, quarterly, and annual financial reports.
- Produce management reports, dashboards, and ad hoc analyses to support business decisions.
- Analyze financial performance, identify trends, and highlight potential risks or opportunities.
- Support budgeting, forecasting, and year-end closing activities.
- Ensure compliance with internal financial controls and accounting procedures.
Stakeholder Collaboration
- Act as the primary finance contact for Property Managers regarding portfolio performance.
- Collaborate with Finance, Business Development/Leasing, Construction, and Procurement teams.
- Support internal and external audits by providing required documentation and explanations.
- Contribute to process improvements and the optimization of financial workflows.
