Job Purpose

The Pharmacy Technician is responsible for the safe, accurate, and ethical dispensing of medications to patients in accordance with medical prescriptions. This role acts as a critical link between the clinical staff and patients, ensuring that individuals receive clear guidance on drug usage while managing digital inventory tracking, stock optimization, and strict adherence to Citizen Society’s healthcare service guidelines.

Key Responsibilities & Duties

Clinical Dispensing & Patient Care

• Accurately dispensing medications to patients strictly following the physician's written prescriptions, ensuring the correct drug name, strength, dosage, and quantity.
• Providing clear instructions to patients regarding safe medication administration, proper dosage intervals, storage requirements, and potential side effects.
• Maintaining absolute patient privacy and upholding ethical medical dispensing practices at all times.
• Partnering closely with the physician to facilitate efficient daily clinic operations and manage special or urgent pharmaceutical needs.

Inventory Management & Stock Optimization
 

• Monitoring inventory levels systematically to preempt shortages, flag low stock, and avoid stockouts.
• Coordinating with the physician to analyze consumption trends and accurately compile the monthly medicine demand forecasting list.
• Liaising with the administrative team to submit timely replenishment orders, cross-check received consignments against delivery invoices, and verify stock quantities before storage.
• Managing shelf life by identifying and quarantining expired or damaged items, reporting them to management, and following official safety disposal protocols.
• Ensuring optimal storage conditions (such as required temperature controls and safety locks) to protect medication integrity and secure the dispensary.
• Maintaining high standards of cleanliness, meticulous organization, and precise labeling throughout the dispensing area.

Digital Record-Keeping & Reporting
 

• Performing accurate data entry by logging all patient prescriptions, diagnoses, and distributed items into the organization's database in real time.
• Maintaining comprehensive physical and digital record-keeping system for daily workflows, batch tracking, and balancing logs.
• Generating periodic consumption reports and inventory updates for review by management and administrative stakeholders.
• Upholding compliance across all documentation practices in strict accordance with organization-wide archiving and data policies.

Job Specifications & Requirements
 

• Education: Diploma in Pharmacy (Category B / Dispenser certification) or equivalent formal clinical training from a recognized institution (Highly Preferred).
• Experience: 1–2 years of practical experience running pharmacy operations, community clinics, or retail setups. Experience working within community health projects or non-governmental organizations (NGOs) is heavily valued.
• Technical Skills: Basic understanding of pharmaceutical nomenclature, contraindications, and prescription analysis; proficient data entry skills with exposure to healthcare software or MS Excel.
• Core Competencies: Extreme attention to detail to eliminate medication errors, clear and patient communication style, and a collaborative team attitude when cross-linking with medical and office units.
