Health Care Scheduler – Part Time

The Health Care Scheduler coordinates nursing staff rosters to ensure 24/7 resident care. This role balances shift coverage, controls overtime costs, and maintains strict state-mandated staffing ratios. They manages daily call-outs with speed and diplomacy while using scheduling software to build long-term master schedules.
Health Care Scheduler Overview:
- Builds and maintains nursing schedule (at least 8 weeks in advance) utilizing facility software within compliance with state regulations and budgeted staffing levels
- Completes the onboarding process of new team members in accordance with organization policy and regulatory guidelines including creating orientation and recurring schedules, initiates departmental orientation checklists, providing credentials to software systems, assigns mentors, and may assist in assigning one to ones
- During their scheduled working hours, callouts, no-shows, and emergencies by finding qualified replacement team members
- Manages overtime, minimizes agency staffing, and maximizes the efficiency of the internal float pool
- Processes time-off and all schedule change requests in accordance with organization's policies and procedures
- Works with office administration team to track mandatory team member credentials including RN/LPN license, CNA certification, and CPR
- Creates and maintains a daily assignment sheet
- Works with care coordinator to oversee and schedule staffing and transportation needs for resident appointments
- High School Graduate/GED required
- 6-12 months experience in long term care, required
- Demonstrates strong emotional intelligence when managing scheduling conflicts, shift disputes, and staffing concerns while maintaining positive working relationships with team members and leaders
- Quickly assesses staffing challenges, identifies coverage solutions, and makes sound scheduling decisions to ensure uninterrupted resident care and operational efficiency
- Effectively manages multiple scheduling priorities, staffing requests, call-offs, and administrative responsibilities in a fast-paced healthcare environment while maintaining accuracy and attention to detail
