The mission of the Office of Global Health in the Department of Internal Medicine is to address global health disparities through education and research, in partnership with institutions serving resource-limited communities in the US and around the world.
Since its inception in 2009, the Office of Global Health has trained the next generation of health care leaders to incorporate critical perspectives on global health systems and the evolving global burden of disease into their future practice. We build equity-focused, mutually respectful, collaborative relationships with partner institutions to create opportunities for bidirectional capacity-strengthening and educational exchange. Additionally, our programs promote skill development related to enhancing cultural humility and collaboration, navigating ethical challenges, and addressing social, political, and environmental determinants of health.
Under limited supervision and exercising sound, independent judgment and initiative, this position provides high level and flexible administrative support to the leadership of Office of Global Health. Responsibilities require advanced organizational skills, expert time management, and the ability to anticipate needs, proactively resolve issues, and maintain workflow continuity with minimal direction. Demonstrated interest in Global Health and Medical Education is preferred.
Main areas of responsibility include:
- OGH regularly hosts visiting faculty and trainees from collaborating institutions in Uganda, Rwanda and Colombia and other potential partner institutions. Prior to arrival: Send Letters of Invitation and Visa Support Letters and book air and ground travel; coordinate appropriate accommodations, submit credentialling documentation to either the YNHH Med Staff Office or the GME Office and obtain non-sponsored identities through the Business Office. During the visit: Foster a welcoming environment on behalf of OGH and the Department of Internal Medicine. This includes logistics support (e.g. escort to Yale ID Office, YNHH ID Office and YMS Library upon arrival), assisting with navigating YSM/YNHH and New Haven, and providing administrative problem-solving support (in conjunction with the OGH faculty)
- OGH hosts special educational events for YSM Department of Internal Medicine faculty, trainees and visiting observers throughout the year during workday and evening hours – (Annual Global Health Week events, Pre Departure Orientations and Site Specific Orientation for Global Health Scholars, Info session for applicants to the GH Scholar Program, Global Health & Equity Distinction Pathway events) Coordinate invited speakers, book space and tech support if needed, coordinate catering, invite and track attendees.
- Ongoing collaborations/partnerships:
- For all domestic and international collaborations: Track the MOUs and Program Letters of Agreement, maintain professional working relationship with administrative staff and faculty at partner institutions.
- Specific to the long-standing partnership with Makerere University Yale University (MUYU) collaboration: Provide support to the MUYU Office in Kampala as needed; Supervise the MUYU preparation of invoices for reimbursement, aligning them with the various accounts to be charged; and Prepare and manage the Professional Service Agreement with MUYU.
- Education programs for Yale trainees: Update the Yale/Stanford Global Health Scholar Program (GHSP) applications annually, log all applications by the deadline; coordinate reviewers and selection meeting; circulate applications to Yale/Stanford review teams, collect and summarize comments for the bi-coastal selection committee. Draft block schedules (based on residency programs and Chiefs’ input on continuity clinic dates as well as partner sites’ input.) Notify selected Scholars, update schedule for all throughout the year. Update and post to the GHSP website’s intranet the Scholar lists, checklists for all sites and other documents related to medical licensure. Add all selected scholars (Yale and Stanford) to the Beatrix list of approved emails to access the intranet. Be a resource for trainees preparing to travel ie. visas, license applications, etc.
- OGH Core administration. Establishes, selects, implements, and coordinates office procedures and systems. Directs the daily operations of the office. Manages calendars and calls, contributes to weekly collation of global health events on campus, assesses nature of issues arising and escalates as appropriate. Serves as principal source of information on policies, procedures, programs, and office activities. Oversees, monitors and controls office budget and spending. Has familiarity with endowments and various accounts used; drafts annual reports for the Development Office. Submits expenses for reimbursement, either with a new Supplier Gateway invitation or using the proxy supplier setup, for Global Health Scholars upon their return. Submits and/or approves invoices from international partners. Submits Expense Reports from Pcard use for expenses (outlined above) and for Director and Associate Director for OGH related costs. Offers guidance and support to Yale colleagues based on experience with international financial transactions. Liaise with the YMS Office of Communications web team (via Jira management) to update the OGH and the GHS websites, and add GHEDP News Updates to Distinction Pathway via Beatrix.
Required Skill/Ability:
1. Exceptional organizational and multitasking skills, with the ability to prioritize and manage competing deadlines in a fast-paced environment.
2. Strong written and verbal communication skills, including ability to draft and edit documents and correspondence with accuracy and attention to detail. Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and familiarity with administrative software and systems. Familiar with WhatsApp.
3. Ability to handle sensitive and confidential information with discretion and professionalism.
4. Strong interpersonal skills, with the ability to build trust and work effectively with a diverse group of stakeholders.
5. Demonstrated ability to interact professionally with faculty, staff, and trainees from institutions in other countries, and ability to proactively work with the Director to seek solutions to challenges, with the goal of ensuring the health, safety and wellbeing of Yale trainees and visitors.
Preferred Skill/Ability:
1. Prior experience within YSM and professional experience with Global Health
2. Event planning or meeting coordination experience; international travel arrangements
3. Proven experience with MSOffice Suite and Workday
4. Professional experience with cross-cultural communication
Preferred Education & Experience:
Four years of related work experience and a Bachelor's degree in a related field; two years of related work experience and a Master’s degree in a related field. Interest in Global Health or medical education and international experience/exposure strongly preferred.

Develops, implements, and oversees office procedures designed to streamline operations, eliminates duplication and improves efficiency throughout the department. 5. Monitors and prioritizes communications for action and review; provides background necessary for action/decision-making; flags time sensitive material; initiates follow up. 6. Composes and/or coordinates substantive communications, reviews outgoing material for accuracy and completeness. Develops and/or produces materials for presentations. 7. Prioritizes, assigns and monitors work, sets standards and expectations among the department administrative support staff. Ensures appropriate levels of coverage so department priorities can be met. Evaluates and clarifies roles and responsibilities. Establishes and cultivates productive relationships between teams. 8. Attends meetings and drafts minutes. Performs other duties and responsibilities as necessary to support the mission of the office. 9. Greets visitors, answers and screens telephone calls and assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail. 10. May perform other duties as assigned.
