Description
Additional involvement in HR duties includes assisting with badging, collecting, and scanning I-9 employment verification documents, and other HR administrative work in HRIS systems, workers’ compensation, property and liability, employee safety programs and ensuring compliance with all regulations, policies, and procedures.

This position is subject to budget required furloughs implemented in the 2026 calendar year.

As an Administrative Assistant II, you will:
- Respond to a high volume of customer phone calls, emails, and in-person inquiries
- Sort and distribute mail for the Human Resources department, including Risk Management
- Create badges for city employees and contractors and assist with badging inquiries
- Assist with the uploading of Risk documentation between Occupational Health and the Claims Adjusters
- Assist with the scanning and uploading of employment records into Laserfiche
- Perform a variety of administrative duties associated with automated and manual recordkeeping
- Complete initial claim reports and intake documents, explain benefits, initiate the claim process, and provide information to the team and/or the supervisor
- Assist with the updating of desk manuals to reflect the changes in processes and procedures
- Serve as a liaison for employment services and risk management for customers and managers via phone, email, and walk-ins
- Use SharePoint to maintain all HR documents and update pages on the Intranet
- Assist with projects and special assignments as needed
- Other duties as assigned
Ability to:
- Handle sensitive information accurately and in a timely manner; maintain a high level of confidentiality
- Communicate clearly and concisely, orally and in writing
- Establish and maintain effective working relationships
- Deliver excellent customer service
- Write and maintain procedure and query manuals
- High school diploma or GED
- Three years of full-time, professional experience in a related area
