Position Description
This role is responsible for managing daily operations across customer service and logistics execution. Key responsibilities include handling customer orders from entry to fulfillment, credit checking, order release, shipping arrangements, document preparation, billing, credit notes, and reporting. The position also oversees import/export processes, ensures timely and accurate delivery coordination, and maintains inventory accuracy. The specialist will collaborate closely with internal teams, sales, customers, and service providers to resolve inquiries and support smooth logistics operations.
Job Responsibilities
Local Operations & Customer Service
- Handle end-to-end local order processing, including PO issuance, quotation support, and product borrowings.
- Maintain strong relationships with Sales Team and DKSH by providing accurate information and timely solutions.
- Maintain master data creation and updates (e.g., customer master/ item master / price list)
- Arrange consignment stock taking in hospitals and physical stock taking in DKSH warehouse
- Fully responsible for the Supply Chain Management such as support & coordinate the shipment arrangement with third parties (e.g., inventory adjustment in system, import / export handling, inbound shipment, stock arrival status, products supply issues and constraints, monitor of back-order status, etc.)
- Manage customer inquiries, order tracking, and complaints for hospitals and local distributors in Thailand
- Prepare weekly and monthly sales reports
- Reconcile Oracle sales with DKSH daily sales report
- Ensure sales order issuance and prepare credit note
- Issue tax Invoices and send original tax invoices to DKSH
- Receive and file original tax invoices from Thailand vendors and create electronic Purchase Request(ePR)
- Laise with service providers and warehouse for logistics execution and shipment arrangement
- Import and Export documentation preparation, handling, and logistics execution
- Works cross-functionally on all issues related to stock management & optimization.
- Other tasks as assigned by manager
Regional Alignment & Coordination
- Coordinate with SEA Customer Service to ensure full operational alignment between regional (SEA) policies and local practices.
- Collaborate with the SEA team to implement updated regional systems, workflows, and service guidelines locally.
Education and Experience
- Bachelor or equivalent Degree in Business Administration, Supply Chain, Logistics
- Strong sense of responsibility, independent and self-motivated
- Team player with a positive work attitude
- Flexibility and ability to quickly adapt to changes resulting from a dynamic and growing business environment
- Minimum of 2-3 years working experience related to Supply Chain & logistics operation
- Experience working in a healthcare or medical device multinational company a plus
- Proficiency in MS Word, Excel, and Outlook
- ERP experience is mandatory. Experience in Oracle, SAP is preferred
- Good command of spoken English
