Description

Operations & Program Manager
Seattle, WA 98122

Coyote Central is an education nonprofit that provides creative classes and public art opportunities to young people. Coyote Central sparks creativity in young people by putting tools in their hands to build skills and forge their future. Over 1,000 youth ages 10 to 15 come to Coyote Central year-round for hands-on workshops with professional artists, chefs, furniture makers, fashion designers, metal artists, animators, dancers, filmmakers, and many other creative people.

Coyote Central is seeking a full-time Operations & Program Manager to assist with leading a small, collaborative staff dedicated to expanding access to creative opportunities for young people.  Reporting to the Executive Director, this role helps ensure the organization runs smoothly and that workshops, classes, and events are implemented effectively.

Position Overview:
Our programs are the heart of our work. The Operations & Program Manager is responsible for day-to-day operational systems that support program delivery, coordinating logistics to ensure workshops, classes, and events run effectively, and maintaining administrative, financial, and compliance systems that support the organization.

Reporting to the Executive Director, this role is primarily responsible for internal operations, administrative systems, financial tracking, and compliance. The Operations & Program Manager ensures the organization runs smoothly and that programs are supported by clear systems, consistent processes, and reliable execution.

This role is distinguished from program-only positions by its ownership of internal operations, administrative systems, financial tracking, and compliance, and from traditional people-management roles by its focus on managing systems, workflow, and day-to-day execution.

This role is primarily onsite while limited remote work may be possible for administrative tasks when programs are not in session. Evening and weekend availability is required during program sessions or special events.

Key Responsibilities of Operations & Program Manager:
Operations & Internal Systems (35–40%)
  • Manage and maintain day-to-day operational workflows and processes.
  • Maintain organized digital and physical filing systems.
  • Coordinate facility scheduling, space use, and office operations.
  • Maintain internal calendars and communication systems.
  • Maintain and improve policies, procedures, and operational documentation.
  • Coordinate work with contractors.

Program Coordination & Project Support (25–30%)
  • Coordinate logistics for workshops, classes, and events.
  • Manage participant registration, communication, and scheduling.
  • Track program timelines, materials, and deliverables.
  • Provide on-site operational management during programs and events.

Financial & Administrative Coordination (15–20%)
  • Track program and operational expenses against budgets.
  • Maintain accurate financial documentation and records.
  • Coordinate invoice submission and expense reporting.
  • Maintain contractor documentation and administrative records.

Program Staff Management (10–15%)
  • Coordinate onboarding and documentation for teaching artists and contractors.
  • Manage scheduling and day-to-day coordination of staff, interns, and volunteers.
  • Maintain personnel records and program documentation.
  • Communicate program logistics and expectations with staff and teaching artists.

Compliance & Safety (5–10%)
  • Maintain youth safety and protection documentation.
  • Track certifications, background checks, and required trainings.
  • Maintain incident reporting and documentation processes.
  • Maintain compliance-related records and support updates to procedures.
  • Completes other duties as assigned in support of operations, program management, and overall organizational effectiveness.

Qualifications:
Required
  • 3–5 years of experience in nonprofit operations, arts administration, program administration, or similar roles.
  • Experience managing programs, events, or community initiatives.
  • Strong organizational and project management skills.
  • Ability to manage multiple projects and timelines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Google Workspace and administrative tools.
  • Demonstrated commitment to youth development, arts education, or community-based programming.

Preferred
  • Experience supporting teaching artists.
  • Experience in arts education or youth-serving nonprofits.
  • Experience coordinating performances, exhibitions, or arts events.
  • Experience supervising interns, volunteers, or program assistants.
  • Bachelor’s degree in a related field.

Requirements Upon Hire - Staff must complete the following certifications within the first 60 days of employment:
  • First Aid/CPR Certification.
  • Mandated Reporter Certification.
  • Bloodborne Pathogen Exposure Control Certification.
  • De-escalation Certification.
  • Food Worker Card Training.

Compensation & Benefits:
Non-exempt pay rate range: $36.00 – $40.85 per hour, depending on experience and qualifications. The final offer will be based on the candidate’s relevant experience, skills, and internal equity, using this range as the framework for fair and consistent pay decisions.
Benefits for full-time employees are expected to align with the organization’s standard benefits package, including medical, dental, vision, retirement, paid time off, and holiday offerings.

Commitment to Equity
Coyote Central strives to lead with equity in everything we do. We aim to dismantle these barriers by engaging diverse voices in our decision-making processes and continually pursuing new knowledge about equity. We start with a racial equity lens, but also address inequity in income, gender identity, culture, language, ability, and other forms of oppression our communities may experience.

Coyote Central is an equal opportunity employer committed to organizational, personal, and systemic growth in equity. We continue to build a teaching artist roster, staff, and board that reflect the diversity and intersectionality of the students we serve.
