Job Summary

Description - External
This position will provide administrative support for the BWH Living Donor center, a program that is dedicated to helping prospective living kidney donors navigate the complexities of living kidney donation. The Practice Assistant will provide direct assistant to the RN Coordinators, helping to ensure the patient needs are met efficiently, correctly, and compassionately.



Duties and Responsibilities:



Work closely with the Living Kidney Donor Transplant RN Coordinators and multidisciplinary team, providing direct support for all administrative needs and care logistics related to living kidney donation.



Provides support with chart initiation, preparation and maintenance, requests medical records/test results, scans patient records, and mails supplies as directed.



Schedules patient appointments and takes ownership of regulatory-mandated patient follow-up, including data collection and database management.



Serves as a first point of contact for non-clinical questions/issues regarding the living kidney donor transplant program and patient appointments. Triages messages and communications to RN Coordinators as appropriate.



Maintains patient education materials, including: facilitating edits, preparing paper-based materials, and organizing web content/library.



As Practice Assistance II, provides backup support for Practice Assistants, and Administrative Assistant as needed/requested. Activities to include: answering main telephone line, booking appointments, scheduling surgeries, checking in patients for appointments, and general office support.





Project Management:

A percentage of this role will include program coordination to support program development. This individual will lead various projects including events, patient/community outreach, data analysis and tracking program metrics.

Opportunity for the right candidate for growth into additional program initiatives such as: planning and preparing the patient newsletter, assisting with the Patient and Family Advisory Council, and event planning for Living Donor Center activities.



Data Entry:

Manage the data entry of the National Kidney Registry and coordination with the hospital/OR.

Maintains patient list with OR cases, pre-op appointments, and pending cases
• Data entry for the National Kidney Registry and DASH
• Runs reports in epic or other applications as needed
• Reviews referral list and material
• Reviews program Dashboards to follow trends
• Reports out program referral metrics
• Sends out quarterly recipient status information to referring MDs
• Manages referral epic WQ and email
• Serves as any project or outreach backup for recipient pre transplant program/services
• Coordinates outreach events or projects as needed
• Composes and distributes service line or program communications including newsletters, updates, articles, etc.
• Monthly supply orders for the Kidney Transplant Program (clinical and office supplies)

Administrative Duties
• Develops, prepares, and maintains meetings (including agenda and minutes)
• Schedule program meetings as needed
• Manages the reception area including facilitating program phone calls, faxes, and office mail
• Sending out patient packets, letters, etc.

Other tasks include monthly supply orders for the program.


 

Qualifications

Qualifications - External

Level of Education Required:

 

Minimum of high school diploma or GED

Associates Degree or higher level education strongly preferred, but not required

 

Work Experience Required:

 

Minimum of one year medical office or administrative support experience required

Training in office systems including Microsoft Word, Excel, and PowerPoint. Experience with electronic medical records preferred.
