Description
To lead and oversee the effective delivery of faculty workforce, financial and student academic administration, ensuring compliant, timely and high-quality services that support the School’s teaching and operational priorities. The role provides end-to-end governance of key administrative processes, drives resource optimisation and continuous improvement, and works closely with academic and central stakeholders to deliver a seamless and sustainable operating environment.
Key Responsibilities:
Lead the end-to-end administration of Part-Time Lecturer (PTL) appointments, contracts and service agreements.
Manage the PTL budget, remuneration processes and workforce resource planning.
Oversee Teaching Assistant (TA) allocation and deployment to support teaching requirements.
Administer student academic processes, including Leave of Absence, MOOC credit transfers and other academic requests, in accordance with university policies.
Ensure compliance with governance, financial, audit and data management requirements.
Collaborate with Schools, HR, Finance and other central offices to ensure timely and effective service delivery.
Analyse operational and financial data to support management reporting, resource planning and informed decision-making.
Review, streamline and digitalise administrative processes to improve operational efficiency and service quality.
Develop and maintain standard operating procedures, documentation and records to ensure consistency and audit readiness.
Foster strong stakeholder relationships and deliver responsive, customer-focused administrative support in alignment with the School’s strategic objectives.
Other duties: handling role-base email accounts, answering student enquiries, participating in events eg. orientation and counter duties, formatting of exam question papers, checking of marked exam scripts, preparing certification letters, booking of facilities and fault reporting etc.

The role delivers effective governance and operational oversight across faculty workforce, financial, student and teaching support administration, ensuring that resources are well managed, processes are compliant and efficient, and stakeholders receive timely and high-quality support. The role also contributes to the School’s longer-term operational sustainability through process standardisation, digitalisation, data-driven planning and continuous improvement.
Requirements:
Recognized degree in any discipline.
Sound understanding of academic administration processes and university policies, particularly in areas such as faculty appointment, student records, and budget management.
Familiarity with HR and Finance systems (e.g. Workday) and student information systems.
Working knowledge of budgeting principles, contract management, and data governance.
Awareness of audit and compliance requirements within a higher education or public sector environment.
Administrative experience in an academic, research, or public sector setting.
Proven track record in managing contract or HR-related documentation, budget tracking, or student administration.
Exposure to multi-stakeholder coordination, e.g. between academic staff, HR, Finance, and students, would be highly valued.
