Overview
We are seeking an experienced Project Officer (PROF Level 4) to support the planning, coordination, and delivery of technology projects within a complex ICT environment.
This role will play a key part in managing project activities, maintaining project governance processes, supporting change management initiatives, and ensuring project schedules, budgets, resources, and deliverables remain on track. The successful candidate will work closely with project managers, technical teams, executives, and key stakeholders to support strategic project outcomes.
The position also requires experience providing system support, managing change requests, and maintaining project management tools and documentation.
Key Responsibilities
Project Coordination & Delivery
- Support the planning, execution, monitoring, and closure of technology projects and initiatives.
- Assist Project Managers in managing priorities, resource planning, and strategic project activities.
- Facilitate project governance activities and contribute to roadmap development.
- Monitor project schedules, milestones, and deliverables.
Project Planning & Administration
- Ensure Jira Roadmaps and Plans remain accurate and up to date.
- Coordinate with team members and team leads to manage changing priorities, schedules, and resource allocations.
- Update and maintain project records, tickets, and documentation across Jira and related platforms.
- Conduct regular reviews of workflow queues and project activities.
Stakeholder Engagement & Communication
- Liaise with business stakeholders, technical teams, vendors, and executives to support successful project outcomes.
- Communicate complex technical and project-related issues clearly to diverse audiences.
- Maintain ongoing engagement with key stakeholders and project contributors.
- Provide project updates, status reports, and recommendations as required.
Governance, Risk & Continuous Improvement
- Assist with project governance framework development and implementation.
- Identify project risks and support mitigation activities.
- Facilitate lessons learned sessions and continuous improvement initiatives.
- Support quality assurance and compliance with organisational standards and processes.
Budget & Resource Support
- Assist with project budget planning and forecasting activities.
- Monitor resource utilisation and support project financial tracking.
- Provide input into future capability planning and investment initiatives.
Change Management & Systems Support
- Support change management processes and change request coordination.
- Work closely with system owners to ensure appropriate data formats and transport methods are followed.
- Assist in troubleshooting issues and supporting operational project requirements.
Essential Skills & Experience
Required Experience
- Experience supporting project management activities within a complex ICT environment.
- Demonstrated ability to coordinate multiple project activities simultaneously.
- Experience working within governance, compliance, policy, and procedural frameworks.
- Strong stakeholder engagement and relationship management skills.
Technical Skills
- Strong experience using Microsoft Project.
- Strong proficiency with Microsoft Office Suite.
- Experience using Atlassian Jira and Confluence.
- Experience maintaining project schedules, plans, workflows, and documentation.
Communication & Interpersonal Skills
- Excellent written and verbal communication skills.
- Ability to present information to technical and non-technical audiences.
- Strong stakeholder management and collaboration capabilities.
- Ability to work effectively with senior executives and project teams.
Organisational & Analytical Skills
- Strong planning and coordination skills.
- Ability to manage competing priorities in a fast-paced environment.
- Experience identifying and managing project risks and issues.
- Attention to detail and commitment to quality outcomes.
Desirable Experience
- Previous experience working within an Australian Federal Government environment.
- Experience operating within organisational compliance, governance, and policy frameworks.
- Exposure to technology projects, systems implementations, or digital transformation initiatives.
- Experience supporting change management and project governance functions.
