Our Client is seeking a detail-driven, highly organized Agency Project Manager to own project operations, client onboarding, and delivery management end-to-end. Working directly alongside the agency founders, this professional will ensure that every client commitment, meeting action item, proposal, and onboarding requirement is captured, tracked, and brought to completion. Operating full-time with core availability during US Eastern hours, this operator will build operational clarity across Slack, Google Workspace, and modern project management software to ensure the team spends maximum time executing high-value work.
Key Responsibilities
Executive Scheduling & Meeting Operations

Owns comprehensive scheduling for agency founders and client accounts, ensuring every call includes accurate meeting links, attendee lists, agendas, and pre-meeting context.

Captures every commitment, decision, and deliverable made on client and team calls, assigning responsibilities and driving execution until completion.

Issues structured meeting recaps and action lists on the same day as client interactions, maintaining a centralized repository for client approvals, decisions, and feedback.
Client Onboarding & Lifecycle Management

Manages the complete client kickoff trajectory from signed agreement to first deliverable, coordinating communication channels, drive folders, portal access, Reddit partner reps, compliance paperwork, and workshop schedules.

Oversees the client approval queue to prevent internal delivery bottlenecks and maintain clear visibility on items awaiting client feedback.

Tracks proposals, Statements of Work (SOWs), contract renewals, vendor logs, and invoice cadences in a central operational database to prevent missed deadlines.
Process Optimization & AI Integration

Builds and refines agency onboarding checklists, action logs, and project tracking boards while actively running live client projects.

Integrates modern AI productivity tools (such as ChatGPT or Claude) into daily project management workflows, applying rigorous quality control to all outputs before distribution.
Qualifications, Skills, and Key Competencies
Required Qualifications

Agency Project Management Track Record: 3+ years of experience managing client-facing projects within a marketing agency, digital consultancy, or client-services environment supporting U.S.-based clients.

Executive-Ready English Communication: Exceptional written and verbal English communication skills, capable of composing professional, flawless messaging suitable for C-suite and executive client leadership.

Proven Task & Project Management Systems: Demonstrated mastery of modern project management platforms, Google Workspace, and Slack, with an established follow-through tracking methodology.

Daily AI Tool Utilization: Practical experience using AI platforms (ChatGPT, Claude) to accelerate documentation and administrative workflows, combined with a habit of auditing AI outputs for accuracy.

Schedule Alignment: Availability for approximately 40 hours per week, with mandatory daily coverage from 9:00 AM to 1:00 PM US Eastern Time (ET) (8:00 AM – 4:00 PM ET preferred).

Remote Infrastructure Setup: Dedicated quiet home workspace, personal computer, professional headset, and high-speed, reliable internet connection.
Preferred Qualifications

Familiarity with Reddit ecosystem, community dynamics, or social media agency workflows.

Hands-on experience driving client onboarding processes from initial contract execution to kickoff workshops.

Ability to operate autonomously in fast-paced, fluid startup environments without requiring pre-built procedures.

Competitive USD Compensation: $3,000 – $4,000 USD monthly salary paid directly in USD via wire transfer, Wise, or preferred payment rails.
