Job Summary
This temporary position provides administrative support to the Business & Legal Affairs (“BALA”) department in addition to assisting with drafting, reviewing, and negotiating certain BALA contracts.
Who You Will Report to
This temporary position reports directly to the Vice President, Senior Counsel.
Breakdown of What You Will Do
- 85% Administrative Tasks/Contract Administration.
- 15% Contract Review Tasks.
What You Will Do
85% Administrative Tasks/Contract Administration
- Manage contract approval and signature process via Workshare Compare and Docusign.
- Distribute client contracts to Finance.
- Assist with the maintenance of BALA’s contracts database, Laserfiche by:
- Uploading and coding certain fully-signed contracts with appropriate data identifiers;
- Updating contract identifiers as needed (e.g., employee departures/team reallocation);
- Communicating with internal teams on contract statuses.
- Follow up on contract statuses.
- Schedule meetings.
- Assist with formatting documents.
- Assist with obtaining certificate of insurance documents.
- Assist with and run various reports.
- Proofread and send out various legal letters and notices.
- Provide general support to attorneys.
- Other ad hoc administrative tasks, as needed.
15% Contract Review Tasks
- Assist with review and negotiation of non-disclosure agreements for vendors and clients.
- Assist with drafting, review and negotiation of certain client specific in-scope bridges, amendments, and addenda.
Who You Are
- A strong writer and communicator with proficient interpersonal skills.
- An independent worker with a strong sense of ownership and time management.
- Detail oriented with a commitment to follow through and accommodate tight deadlines.
- Can maintain confidentiality and exercise sound judgement when handling sensitive information.
- Strong Microsoft Office skills including Word, Outlook, Excel and PowerPoint.
Experience
At least one to two years of experience in a legal department as an administrative assistant or similar.
Certificates, Licenses and Registrations
A bachelor’s degree from an accredited university is required.

Salary Range: $28.85 to $36.06 an hour. A successful applicant’s actual weekly or hourly rate may vary based upon, but not limited to, skill sets, experience and training, licensure/certifications, and equity.
