Job Summary

Flex intends to Spin off its Cloud and Power Infrastructure segment into a new, independent publicly traded company, which we’re calling SpinCo, until the name is unveiled. The spin is planned for Q1 2027. If the intended spin occurs, this role will support SpinCo, which will focus on critical digital infrastructure, delivering end-to-end power and thermal management solutions for AI data centers and other mission-critical applications.

To support our extraordinary teams who build great products and contribute to our growth, we’re looking to add a Senior Employee Services Administrator located in Chennai location.

The Senior Executive - Transportation is responsible for the safe, reliable, cost-effective and employee-centric execution of employee transportation operations at GBS Chennai. The role manages daily cab operations, route optimization, vehicle deployment, transport vendors, safety compliance, employee helpdesk support, billing validation and operational reporting. The position requires strong knowledge of Chennai geography, transportation management systems, statutory documentation, incident handling and 24/7 transport operations.

What a typical day looks like:

1. Daily transport operations

  • Coordinate daily employee cab and bus operations across all applicable shifts.

  • Ensure timely vehicle deployment, employee pickup, office arrival and safe drop in accordance with established transport policies and guidelines.

  • Monitor operations through the Transport Management System, GPS tracking tools and vendor control rooms.

  • Manage route changes, vehicle breakdowns, absenteeism, no-shows, ad hoc requests and other operational exceptions.

  • Coordinate special cabs, business-critical travel and high-profile transportation requirements.

  • Provide transport support during emergencies, adverse weather, business disruptions and special events.

2. Routing and capacity optimization

  • Prepare and optimize routes based on employee locations, shift timings, vehicle capacity, travel time and safety requirements.

  • Apply strong knowledge of Chennai geography, traffic conditions and practical route constraints.

  • Monitor vehicle occupancy and maintain an occupancy target of at least 90%.

  • Review daily trip volumes, per-head transportation cost, vehicle utilization and route efficiency.

  • Identify opportunities to consolidate routes and reduce unnecessary trips without compromising safety or service quality.

3. Safety, security and compliance

  • Ensure compliance with company transportation policies, applicable statutory requirements and safety standards.

  • Verify vehicle and driver documents, including licenses, permits, insurance, fitness certificates, pollution certificates and background verification records.

  • Maintain safety and compliance documents in an audit-ready manner.

  • Conduct vehicle inspections and monitor GPS, panic alarms, first-aid kits, fire extinguishers, seat belts and other mandatory safety provisions.

  • Conduct driver briefings, defensive-driving sessions, safety awareness programs and periodic training.

  • Support the preparation and periodic review of transport policies, standard operating procedures, escalation matrices and the employee transport handbook.

  • Ensure safe-drop, escort and employee confirmation processes are followed wherever applicable.

4. Incident and crisis management

  • Respond promptly to transport-related incidents, accidents, safety concerns, vehicle breakdowns and employee emergencies.

  • Coordinate with employees, transport vendors, Security, EHS, HR and other stakeholders during incidents.

  • Prepare incident reports, establish the sequence of events and maintain supporting documentation.

  • Conduct root-cause analysis and track corrective and preventive actions through closure.

  • Escalate critical incidents promptly in line with the defined escalation matrix.

  • Support crisis-management, emergency-response and business-continuity requirements related to employee transportation.

5. Transport helpdesk and employee experience

  • Manage the transport helpdesk and respond professionally to employee queries, complaints, requests and escalations.

  • Address issues relating to cab allocation, routing, delays, driver conduct, missed pickups, special cab requests and application access.

  • Maintain appropriate telephone and helpdesk communication etiquette.

  • Track complaints and service requests within defined turnaround times.

  • Conduct user satisfaction surveys and analyze feedback to identify recurring issues and improvement opportunities.

  • Communicate transport advisories, route changes, delays, process updates and service disruptions clearly to employees.

6. Vendor and SLA management

  • Coordinate with transport vendors to ensure adequate vehicles, trained drivers, shift coverage and backup arrangements.

  • Monitor vendor performance against agreed service levels, safety requirements and compliance standards.

  • Maintain on-time arrival performance

  • Track vehicle and driver compliance, GPS adherence, employee complaints, resolution time, driver behavior, vehicle quality, breakdowns, trip cancellations and no-shows.

  • Conduct vendor performance reviews and follow up on corrective actions through closure.

  • Escalate repeated service failures and safety concerns to the appropriate stakeholders.

7. MIS, billing and cost controls

  • Prepare accurate daily, weekly and monthly transport reports and dashboards.

  • Maintain trip data, employee rosters, route details, vehicle deployment records, occupancy reports and exception logs.

  • Validate vendor invoices against approved trips, GPS records, deployed vehicles, route data, attendance information and contractual rates.

  • Review special cab bookings, additional kilometer charges, cancellations, waiting charges and other billing exceptions.

  • Support accrual preparation, cost forecasting and transportation budget tracking.

  • Monitor cost per employee, cost per trip, route cost, vehicle utilization and monthly expenditure.

  • Ensure the accuracy and completeness of MIS and billing data before submission.

8. Transport systems and automation

  • Operate employee Transport Management Systems, GPS tracking platforms, route optimization applications and automated booking tools.

  • Maintain accurate employee, shift, route, vehicle and driver master data in the transport system.

  • Identify and support automation initiatives that improve routing, tracking, billing, employee communication, reporting and compliance monitoring.

  • Coordinate with IT, system providers and transport vendors to resolve application and integration issues.

  • Support user testing and implementation of new transport system features.

  • Use data and dashboards to identify service gaps, recurring exceptions and cost-reduction opportunities.

The experience we’re looking to add to our team:

  • Bachelor's degree in any discipline.

  • More than 5 years of relevant experience in employee transportation operations, preferably in a large corporate, shared services, IT/ITES or 24/7 working environment.

  • Strong experience in managing cab and bus operations across multiple shifts.

  • Good working knowledge of Chennai geography, traffic patterns, employee routing and vehicle capacity planning.

  • Hands-on experience with Transport Management Systems, GPS tracking platforms, route optimization tools, automated booking systems and transport MIS.

  • Experience in vendor management, driver compliance, safety checks, incident management, billing validation and employee escalations.

  • Working knowledge of vehicle and driver statutory documentation.

  • Experience in drafting or supporting transport policies, procedures, escalation matrices and employee transport handbooks.

  • Willingness to work in rotational shifts and provide operational support outside regular business hours when required.

  • Excellent working knowledge of Microsoft Office, particularly Excel, PowerPoint, Word and Outlook.

  • Strong written and verbal communication, stakeholder coordination, problem-solving and follow-through.

Preferred credentials

  • Certification or formal training in transport operations, road safety, defensive driving, fleet management or incident management.

  • Working knowledge of EHS, business continuity and emergency-response practices applicable to employee transportation.

  • Exposure to transport automation, analytics, dashboarding and continuous improvement initiatives.
