The Role
We have an exciting opportunity for a Facilities Coordinator – General Services to join our Workplace Experience team at the Michael Kors EMEA Office in Manno (Lugano).
This role supports the coordination of general services, compliance-related activities, and facilities operations across EMEA retail locations and offices, ensuring operational excellence, regulatory compliance, and alignment with brand standards and long‑term business strategy.
Department Overview
The Store Development, Store Maintenance, and Workplace Experience function is part of the Capri Holdings EMEA organization, operating across all stores and offices to ensure high‑quality services across all Michael Kors properties.
The team is responsible for:
- Office and workplace management, including facilities operations and services
- Administrative and operational support to executive teams and office leadership
- Waste, cleaning, Utilities and environmental services
- Maintenance and refurbishment projects
All activities are delivered with a strong focus on efficiency, compliance, sustainability, and the DNA of the brand.
What You Will Do
You will support the Workplace Experience team by coordinating vendors, maintaining operational and compliance databases, and supporting strategic initiatives across EMEA.
Your responsibilities include, but are not limited to, the following:
Procurement & Vendor Onboarding
- Support the onboarding of all EMEA vendors into required supply chain management systems in line with H&S and Procurement requirements
- Work closely with an extensive roster of existing vendors to ensure compliance with onboarding, documentation, and fee requirements
- Source new vendors for R&M and compliance-related trades when existing suppliers are unable to meet onboarding or regulatory standards
GHG Footprint & Sustainability Data
- Support the Workplace Manager in collecting, creating, and compiling data for internal trackers
- Provide accurate and timely information to CSR teams to support GHG footprint monitoring and sustainability reporting
FGAS & Refrigerants Compliance
- Coordinate with maintenance vendors to collect detailed information on refrigerant gases used in cooling systems at store level
- Ensure maintenance programs align with local legal and environmental requirements
- Verify that vendors are correctly authorized to handle FGAS activities
- Obtain, submit, and maintain all documentation required by local authorities, ensuring accurate and compliant record‑keeping
Waste Contract Management & Environmental Services
- Coordinate the selection and management of waste service providers by country and location
- Ensure all permits, authorizations, and scheduled pickup frequencies are properly managed
- Track, maintain, and archive all waste-related documentation in line with local regulatory and environmental requirements
Cleaning Contract Management
- Support vendor selection and coordination for cleaning services across EMEA locations
- Ensure cleaning contracts comply with local regulations and Health & Safety standards
- Support the ongoing EMEA‑wide cleaning re‑tendering project, including data collection, vendor coordination, transition support, and documentation tracking
- Maintain accurate records of contracts, compliance documentation, and service scopes
Remote Facilities Support (Offices without Front of House)
- Provide remote operational support for facilities management tasks in locations without a dedicated Front of House team, including Madrid and Paris offices
- Coordinate vendors, manage service requests, and track corrective and preventive maintenance activities
- Act as a central point of contact to ensure continuity of service, visibility, and documentation accuracy across all supported locations
- Administrative and operational support to executive teams and office leadership in case of need.
You’ll Need to Have
- At least 1 year of experience in Facilities & Maintenance or a related field
- A degree or equivalent experience in a relevant subject area
- International retail facilities management experience is a plus
- Strong organizational skills and high attention to detail
- Very good verbal and written communication skills
- Ability to interact effectively with vendors, contractors, and internal stakeholders
- Ability to work under pressure and deliver results
- Advanced proficiency in Microsoft Excel (must have)
- Good knowledge of Microsoft Office (Outlook, Word, PowerPoint)
