Who You Are

The Surgical Coordinator is responsible for coordinating and managing the surgical patient experience from the time surgery is recommended through scheduling, preoperative preparation, surgery, and postoperative follow-up.

This position serves as a primary point of contact for surgical patients and works closely with physicians, clinical staff, surgical facilities, and management to ensure each patient is properly educated, prepared, scheduled, and supported throughout the surgical process.

 

The Surgical Coordinator is expected to take ownership of the surgical pipeline, maintain consistent patient follow-up, and ensure that patients do not fall through the cracks during the surgical process.

What You'll Do

Surgical Counseling & Patient Education

· Meet with patients after the physician recommends surgery to review the surgical process and next steps.

· Educate patients regarding surgical options, expectations, preoperative requirements, and postoperative care.

· Counsel cataract patients regarding available lens options, including premium IOL and refractive options when appropriate.

· Clearly explain associated out-of-pocket costs, financing/payment options, and patient financial responsibility.

· Provide knowledgeable and professional counseling without pressuring patients and ensure patients have the information necessary to make an informed decision.

· Follow up with patients who are undecided or have not yet scheduled their recommended procedure.

 

Surgical Scheduling & Coordination

· Schedule surgical procedures according to physician, facility, and patient availability.

· Coordinate surgery dates, postoperative appointments, testing, measurements, medical clearances, and other required appointments.

· Ensure all required documentation, testing, consents, measurements, and medical clearances are completed before surgery.

· Communicate surgical instructions clearly to patients and confirm that patients understand all preoperative requirements.

· Manage surgical cancellations and rescheduling and work to fill available surgical openings when appropriate.

· Maintain accurate and organized surgical schedules.

· Utilize the CRM to keep track of patient from beginning to completed surgery.

 

Insurance & Financial Coordination

· Verify surgical insurance benefits and requirements when applicable.

· Assist with obtaining necessary authorizations and referrals.

· Communicate with the billing and insurance departments regarding surgical coverage or authorization issues.

· Review patient financial responsibility and collect required surgical deposits or payments according to practice policy.

· Accurately document financial discussions and payment arrangements.

· Coordinate with the surgical center regarding the patient’s surgery time, date, and insurance information.

 

Surgical Pipeline Management

· Maintain an accurate and current list of patients who have been recommended for surgery.

· Consistently follow up with patients who have not scheduled.

· Identify outstanding requirements that may delay surgery and actively work toward resolution.

· Track cancellations, reschedules, pending clearances, authorizations, and other barriers to surgery.

· Communicate concerns or significant delays to management and/or the appropriate provider.

· Take ownership of assigned surgical patients from recommendation through completion of the surgical process.

 

Documentation & Communication

· Maintain complete and accurate documentation in the patient's electronic medical record.

· Document patient communication, counseling, scheduling decisions, financial discussions, and follow-up attempts.

· Communicate effectively with physicians, technicians, front desk staff, billing personnel, OR/OBS staff, outside surgical facilities, and management.

· Protect patient confidentiality and comply with HIPAA and all practice policies.

What You Bring

Qualifications

· Previous ophthalmology experience strongly preferred.

· Previous surgical coordination experience preferred.

· Knowledge of cataract surgery, premium IOLs, and refractive procedures is highly preferred.

· Spanish speaking is required.

· Must be willing and able to travel between the Weston and Aventura locations as required.

· Strong patient counseling and communication skills.

· Comfortable discussing surgical costs, premium options, and financial responsibility with patients.

· Strong organizational and time-management skills.

· Ability to manage multiple patients, deadlines, and surgical requirements simultaneously.

· Strong attention to detail and ability to independently follow through on assigned responsibilities.

· Professional appearance and demeanor.

· Ability to work effectively as part of a fast-paced ophthalmology practice.

 

Performance Expectations

· Provide an excellent patient experience from surgical recommendation through postoperative care.

· Maintain timely and consistent follow-up with surgical patients.

· Keep surgical documentation and schedules accurate and current.

· Ensure required testing, clearances, authorizations, consents, and payments are completed timely.

· Demonstrate strong knowledge of the procedures and surgical options offered by the practice.

· Effectively educate patients regarding standard and premium surgical options.

· Maintain professional and compassionate communication with patients and coworkers.

· Demonstrate accountability and ownership of the surgical pipeline.

· Communicate potential problems or delays proactively rather than waiting until the day of surgery.

· Maintain confidentiality and comply with HIPAA, OSHA, practice policies, and applicable regulatory requirements.

· Maintain dependable attendance and punctuality.

· Work collaboratively with physicians, management, clinical staff, front desk staff, billing, and surgical personnel.

 

Physical & Work Requirements

The employee must be able to perform the essential functions of the position with or without reasonable accommodation. The position may require prolonged periods of sitting, standing, computer use, telephone communication, and interaction with patients and staff. Travel between practice locations may be required based on operational needs.
