Job Description:
The Executive Assistant provides high-quality administrative and organizational support for a fast-paced Asset Management team. This role requires strong ownership, sound judgment, responsiveness, and the ability to manage competing priorities with urgency and accuracy. The ideal candidate is highly organized, proactive, assertive when needed, and comfortable coordinating across internal teams, external partners, senior leaders, and board-level constituents and senior leaders.
Key Responsibilities
- Screens incoming calls, processes mail and correspondence and distributes to appropriate areas
- Handles daily contact with management, internal and external customers, and visitors
- Handles daily correspondence requests for Asset Management staff including letters, memos, documents, emails and maintains records on all correspondence
- Manages complex Outlook calendars for Asset Management leaders, including scheduling, rescheduling, prioritizing conflicts, and ensuring appropriate meeting preparation
- Coordinates internal and external meetings across multiple calendars, time zones, and stakeholder groups
- Tracks meeting logistics, materials, attendees, follow-ups, deadlines, employee attendance records, calendars, and contact lists
- Anticipates scheduling conflicts and proactively recommends solutions to keep meetings and deliverables on track
- Handles air travel arrangements for Asset Management staff requiring research and cost analysis to book, confirm best available fare, and ensure confirmation of seating
- Handles hotel and ground transportation accommodations for Asset Management staff requiring research and cost analysis to book, confirm best available rate, including mapping out location between hotel and event to determine most economical and feasible arrangements
- Maintains organized tracking systems for open administrative items, recurring deliverables, contact lists, meeting materials, department records, and annual budget information for the CIO and staff
- Follows through on requests promptly and keeps stakeholders informed of status, next steps, and potential issues
- Helps maintain the team's operating rhythm by coordinating deadlines, logistics, supplies, files, and recurring administrative processes
- Provides backup support for office management as needed
- Assists in the annual preparation of materials for the 15(c) mutual fund renewal process
- Assists in the preparation of materials for monthly committee meetings as well as quarterly meetings with external client(s) and boards
Requirements
- Prior administrative or executive assistant experience supporting senior professionals in a fast-paced office environment
- Demonstrated ability to manage complex Outlook calendars, schedule meetings across multiple stakeholders, and resolve conflicts quickly and professionally
- Excellent written and verbal communication skills, with a professional demeanor and the ability to interact confidently with internal and external stakeholders
- Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint, with a high degree of accuracy and attention to detail
- Highly organized with strong follow-through and the ability to track open items, deadlines, meeting logistics, and recurring deliverables
- Proactive, resourceful, and comfortable anticipating needs, asking clarifying questions, and driving tasks to completion
- Ability to operate with speed, accuracy, and good judgment in a fast-paced environment
- Collaborative and team-oriented, with the ability to support others and adapt to changing priorities
- High level of professionalism, discretion, and confidentiality
