The Payables Officer is responsible for managing the organization’s accounts payable processes to ensure timely, accurate, and compliant payments to vendors, contractors, and staff. This role supports financial integrity through diligent verification, documentation, and reconciliation of payments, while maintaining strong relationships with internal and external stakeholders.  This position requires traveling occasionally and working long and flexible hours as needed. The work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain. Reporting to the Payables Coordinator-Africa Region, the position will be based at the TNC office in Luanda, Angola.

The Payables Officer will work as part of the Angola Program team coordinating tasks related to one or more functional activities, such as operations support, meetings management, special events, training, and volunteer program.

  •  Review and respond to daily payment-related emails and inquiries.

  • Verify payment documents before submission in Workday to ensure accuracy and compliance.

  • Process vendor verification through Bridger Screening and maintain vendor records.

  • Submit payments in Workday in line with procurement and organizational standards.

  • Send approved payments to accounting vendors for bank uploads and obtain proof of payment.

  • Share payment confirmations with vendors and contractors promptly.

  • Upload approved payments and supporting documentation to Box for audit readiness.

  • Support payment processes for countries where the organization is not registered.

  • Maintain and update the invoice tracker daily.

  • Review cash advance budgets before employee submission in Workday.

  • Reconcile personal cash advances and credit card expenses.

  • Prepare and submit adjustments for project IDs and account codes.

  • Ensure timely submission of statutory compliance reports and occupancy cost budgets.

  • Prepare cash receipts for bank deposits and maintain accurate records.

  • Support quarterly and bi-annual meetings with accounting vendors.

  • Conduct new employee Workday orientation and credit card administration training.

  • Participate in staff development and personal training sessions.

  • Support workshops and events, including payment processing and attendance tracking.

  • Prepare and submit monthly timesheets and quarterly performance reviews.

  • Attend departmental, operations, and cross-functional meetings (Finance, HR, Grants, IT).

  • Contribute to continuous improvement of payment processes and compliance systems.

  • Maintain confidentiality and uphold organizational financial policies.

  • Be willing to travel, work overtime, and work evenings and weekends as needed

What You’ll Bring:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.

  • Minimum 3 years of experience in accounts payable or financial operations.

  • Proficiency in Workday or similar ERP systems.

  • Strong understanding of financial compliance, audit readiness, and vendor management.

  • Excellent attention to detail, organizational, and communication skills.

  • Ability to manage multiple tasks under tight deadlines.

  • Experience coordinating projects and identifying and solving complex problems.

  • Experience generating financial reports and analyzing and interpreting data.

  • Experience developing and administering departmental budget or equivalent.

  • Experience working across departments.

DESIRED QUALIFICATIONS

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.

  • Demonstrated experience handling confidential information.

  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.

  • Experience interpreting guidelines to achieve desired results.

  • Experience supervising staff, interns and/or volunteers.

  • Strong organization and negotiating skills, accuracy, attention to detail and ability to manage multiple tasks.

  • Experience in supporting Human Resource processes.

This position requires a valid driver's license and compliance with TNC’s Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers."
