Description
Duties & Responsibilities
- Review/audit, code, enter, and post invoices for payment of several of our companies, inventory and non-inventory items. Basic understanding of the PO process and our general ledger is needed.
- Organize back-up support for recording invoices and check runs on a weekly basis.
- Reconcile open voucher report for several of our companies.
- Record credit card transactions across several of our companies by deploying a credit card expense management application.
- Reconcile monthly credit card accounts.
- Provide back-up support for maintaining vendor files and answer vendor inquiries.
- Provide back-up support for reconciling vendor statements monthly.
- Process expense/mileage reports
- Reconcile certain balance sheet accounts for specific companies monthly.
- Provide assistance for processing 1099s.
- Monitor/track all subscriptions paid for certain companies
- Generate and disburse expense reports on a monthly basis.
- Assist in maintaining vendor and subcontractor company W-9s throughout the year for all entities
- Provide support for special projects as assigned.
Qualifications
- General accounting knowledge and at least (3) years of, or a combination of, transactional accounting and accounts payable experience.
- Bachelor's (B.A.) or Associates of Art (A.A) degree in Accounting.
- Knowledge of JD Edwards or similar ERP system is a plus.
- Knowledge of accounting practices and principles.
- Ability to manage multiple tasks and projects and work under time pressure.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Strong problem-solving/decision-making skills, with the ability to think critically and troubleshoot issues.
- Ability to read, analyze, and interpret common financial reports, and basic legal documents.
- Ability to respond to common inquiries from vendors or subcontractors, and internal managers.
- Ability to effectively present information to management.
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Ability to work well under pressure and adapt to changing priorities and demands.
- Excellent communication and interpersonal skills, with the ability to effectively coordinate and collaborate with internal teams and external vendors
- Ability to work flexible hours and adapt to changing schedules or demands.
- Strong attention to detail and accuracy in record-keeping
- Desire to learn how to apply, or have had experience with, AI tools in accounting operations.
- Ability to work with a team of Accounting personnel in a constructive positive collaborative environment.
