Description
As a Laboratory Administrative Coordinator, you provide high-level administrative, operational, and data management support for clinical laboratory operations.
You serve as a key liaison between laboratory personnel, pathology staff, clients, vendors, and internal stakeholders to ensure the efficient processing, tracking, documentation, and reporting of clinical pathology specimens.

In this role:
- You will coordinate and monitor the receipt, accessioning, tracking, storage, and disposition of clinical pathology specimens.
- You will maintain specimen records and ensure complete documentation throughout the testing lifecycle.
- You will support laboratory workflow processes by monitoring turnaround times, sample status, and workflow efficiency metrics.
- You will manage laboratory reports, correspondence, meeting schedules, and operational documentation.
- You will assist study managers with operational projects, clinical trials, compliance-related activities and quality assurance checks
- You will investigate specimen discrepancies, missing documentation, and workflow issues and facilitate timely resolution.
- You will utilize Laboratory Information Systems (LIS), Laboratory Information Management Systems (LIMS), and other laboratory databases to manage specimen and testing information.
- You will perform data entry, validation, quality checks, and report generation with a high degree of accuracy.
- You will support laboratory audits, inspections, and accreditation activities.
What you need to succeed:
- You have an excellent skillset working with computers and data entry skills utilizing the most up-to-date programs.
- You have advanced Microsoft Office proficiency, including Excel (formulas, pivot tables, data cleanup, basic analysis), and strong use of Outlook, Word, Teams, and SharePoint for workflow coordination.
- You are able to collaborate with other labs in a professional manner as well as utilizing email and Microsoft Teams on a daily basis.
- You have a scientific or laboratory background.
- You will be working with laboratory sample data so you’ll need to be able to understand the terminology and processes.
- You possess high organizational discipline, and are able to manage calendars, documents, priorities, and competing deadlines with structure and consistency.
- You practice proactive ownership, are able to take charge of situations, follow through without reminders, and keep others informed.
- You have process-minded thinking by creating checklists, improving workflows, and building repeatable systems rather than reinventing tasks each time.
- You have a good attention to detail and are a strong multitasker with the ability to shift priorities.
- You bring a proven track record of managing administrative tasks in a fast-paced environment and the ability to self-manage.
- You have excellent presentation skills and know how to prepare material for meeting agendas.
- This is a laboratory, so there is potential exposure to biohazards, agents known to cause zoonotic diseases, and hazardous chemicals.

- Hourly pay rate targeting: $23.50 / hour (may vary based on experience)

Schedule:
- This is a full-time position with benefits.
- The hours for this position are: 8 AM - 4:30 PM (there is some flexibility with these hours).
- The schedule for this position is: Tuesday – Saturday.
- During training, your schedule will be Monday - Friday until you have completed all training necessary.
- Hours may vary based on needs of the lab.
- Reliable attendance is essential to this position.
