Description
Penbrothers is an HR & remote talent management partner and one of the fastest-growing companies in the Philippines. We provide talented Filipinos with global opportunities in high-growth startups and dynamic companies, from the comfort of their own homes.
About the Client
The client is an established regional home builder that has been constructing homes since 1985 across Maryland, Delaware, Pennsylvania, and North Carolina. The company offers planned community developments as well as custom "On Your Lot" (OYL) home building programs, guided by a strong commitment to quality craftsmanship and exceptional customer care.
Work Schedule: Monday to Friday, 9:00 AM – 6:00 PM Eastern Time
About the Role
We are seeking a detail-oriented and collaborative Project Accounting Specialist to support our On Your Lot (OYL) division. In this role, you will sit at the intersection of accounting, project management, and customer interaction—managing project-level financial tracking, facilitating bank draw schedules, maintaining percentage of completion (POC) reporting, and working closely with homebuyers, field staff, lenders, and internal teams to ensure accurate financial reporting and smooth project execution from start to closeout.
What you’ll do
-
Monthly cost reporting to all of our On Your Lot (OYL) Home owners. This includes auditing the files against the up to date contract files and sending a monthly cost update as to where we currently stand.
-
OYL Bank Draws - for every home under construction, coordinating with our field staff to ensure funding requests are timely and accurate. This includes assembling documents as needed to satisfy the banks.
-
Buyer Deposit maintenance - monitoring all homes not started and ensuring we are complying with the deposit schedule laid out in the sales contracts. Formalizing requests to the buyers and tracking their costs spent to ensure we aren't spending money on jobs we don't have money for.
-
Tracking accounts payables for the OYL entities and formulating the escalated payment list twice monthly.
-
General Ledger transaction review. Flagging any unknown expenses at the entity level and making sure allocations that hit the projects are done correctly including bi-weekly payroll allocations.
-
Maintaining the Percentage of Completion (POC) file to ensure sales pricing and estimates are accurate as well as billings to date being reported each month.
-
Monthly Accrual Tracking and monitor settled house spending against accruals (settled homes).
-
Reconciling Key Exchange forms against the POC file to ensure information being reported to customers and within the financial statements match.
-
Complete POC Month end adjustments and complete schedules in FloQast for accounting manager review.
-
Performing all accounting close outs, with the buyers, and performing all tasks to return any open escrows in a timely manner. Vice versa, ensuring that any additional field work that needs to be done is funded before performing that work.
-
Maintaining any bond reports for OYL and pushing the team to have those bonds released (either our bonds or the home owner bonds).
-
Coordinating with Sales Staff to ensure the homebuyers deposit and lender mobilization payment are sufficient to cover all initial costs prior to regular draws from the bank. This task should be completed prior to incurring any costs.
-
Coordinating and completing any application required from a new lender, if approved by the President.
-
Ensuring that all new lenders meet our minimum bank requirements before completing application, and if not, the President may approve exceptions.
What You Bring
-
Bachelor's degree in Accounting, Finance, or a related discipline.
-
Proven experience as a Project Accountant, Cost Accountant, or Financial Analyst handling project cost tracking, budgets, cash flow, and financial reconciliations for US-based real estate, construction, or homebuilding companies.
-
Solid understanding of project-based financial reporting concepts, including Percentage of Completion (POC), job costing, gross margin analysis, and over/under billings.
-
Strong analytical capability with a critical eye for data integrity—able to spot discrepancies between contractual sales budgets and actual job costs without needing to manage manual journal entries directly.
-
Excellent, proactive English verbal and written communication skills (CEFR B2 upper-intermediate level or higher), comfortable communicating expense breakdowns directly to homeowners and following up with external lenders.
-
Proficiency in Microsoft Office applications, particularly Microsoft Excel (spreadsheets, lookups, and reporting formulas).
-
Highly proactive, collaborative, and self-directed mindset suited for a remote environment—eager to ask questions, consult internal teams, and resolve discrepancies quickly.
Nice to Have
-
Prior experience in the residential home building, construction, or real estate development sector.
-
Familiarity or experience with ERP systems such as MarkSystems (ECi), or similar enterprise platforms (e.g., SAP, NetSuite, QuickBooks).
-
Exposure to FloQast close management software or Microsoft Power Platform (Power BI, Power Automate).
