Overview
The Benefits Administrator coordinates the day-to-day administration of employee benefit programs for multiple affiliated organizations serving roughly 800 employees. This position processes enrollments and status changes, responds to employee questions, supports open enrollment, reconciles benefit invoices, maintains accurate records in ADP and vendor systems, and assists with workers' compensation and regulatory reporting. The Benefits Administrator works closely with Human Resources leadership, brokers, vendors, payroll, and employees to provide timely, accurate, and responsive benefits support.

Responsibilities
- Serve as a primary point of contact for routine employee benefit questions and refer complex or policy-related matters to Human Resources leadership.
- Administer day-to-day transactions for medical, dental, vision, life, FSA/HSA, voluntary benefits, COBRA, and wellness programs.
- Process benefit eligibility, enrollments, qualifying life events, status changes, and terminations accurately and timely in ADP and vendor systems.
- Coordinate annual open enrollment logistics, employee communications, education sessions, and enrollment follow-up.
- Reconcile benefit invoices, prepare payment allocations, research discrepancies, and coordinate corrections with payroll, finance, and vendors.
- Communicate with brokers and benefit vendors regarding employee issues, plan administration, system updates, and routine service needs.
- Support workers’ compensation administration by reviewing documentation, coordinating claim information, tracking case activity, and maintaining required records.
- Assist with required benefit and employment-related reporting, notices, audits, and recordkeeping, including ACA, ERISA, COBRA, OSHA, EEOC, and Medicare requirements.
- Run and review HRIS reports affecting benefit eligibility, deductions, enrollment, and ACA measurement periods; identify and escalate discrepancies.
- Prepare benefits materials and assist with employee and supervisor education related to benefits, workers’ compensation, safety, and leave processes.
- Maintain working knowledge of FMLA, ADA, COBRA, and Workers’ Compensation requirements and provide backup support for leave administration as assigned.
Qualifications
Education & Experience:
- At least three years of employee benefits, human resources, payroll, or related administrative experience; strong Excel, communication, organization, and attention-to-detail skills required.
- Experience with ADP or a comparable HRIS and experience supporting self-insured medical or workers’ compensation programs preferred.
- Valid, unrestricted NY State driver's license is strongly preferred.
- Associate degree in business, human resources, or a related field preferred; bachelor's degree or HR/benefits certification a plus. An equivalent combination of education and relevant experience will be considered.
- Ability to speak, read, write, and understand English sufficiently to safely and effectively perform the essential functions of the position.
Physical Requirements:
- Ability to sit, stand, and work at a computer for extended periods; lift up to 20 pounds; communicate effectively; and perform routine office tasks, including typing, filing, and operating standard office equipment.
