The Opportunity:
Campus Services, a division within University Operations, is hiring an Event Coordinator. The Event Coordinator will provide professional-level coordination and oversight of events within the Student Union, Fairwinds Alumni Center and controlled facilities by independently advising campus partners, interpreting and applying university policies, assessing risk and operational needs, and coordinating resources to ensure compliant, high-quality events that support institutional objectives. This position/classification may be moved at management's discretion within the UO division to a commensurate level position as determined by the Associate VP, Strategic Campus Planning or his/her designee.
Responsibilities:
Client Relations & Event Advising:
Serves as a primary professional point of contact for campus partners planning meetings, conferences, conventions, and special events within Student Union controlled facilities, including the Fairwinds Alumni Center, Live Oak Event Center, Memory Mall, Reflecting Pond, TCH Lawn, NPHC Monument, and classroom spaces.
Independently assesses client needs, event objectives, logistical requirements, and compliance considerations, providing individualized guidance to support successful and compliant events.
Interprets, applies, and advises campus partners on University of Central Florida policies, procedures, and safety requirements related to facility use and events, ensuring compliance and mitigating institutional risk.
Advises event clients on food service requirements and options, interprets applicable policies, and facilitates connections with approved internal and external catering vendors to ensure compliance and service quality.
Event Planning, Logistics & Resource Coordination:
Independently evaluates event scope, attendance, staffing capacity, risk factors, and policy requirements to determine appropriate venues and resource allocation, escalating only complex or non-standard issues as needed.
Coordinates with Enterprise Risk & Insurance Management, Facility Operations, Landscape & Natural Resources, Dining Services, and Business Services to proactively identify operational risks, resolve conflicts, and align event plans with institutional policies and service capabilities.
Develops customized room and event space layouts using diagramming software, applying professional judgment to interpret building, fire, and safety codes and ensure layouts comply with regulatory and institutional requirements.
Staff Leadership & Professional Development:
Provides functional direction and work guidance to student employees and temporary staff supporting events, including communicating expectations, coordinating assignments, facilitating event space walkthroughs, and addressing client concerns to ensure service standards and event objectives are met.
Represents the department by participating in divisional or campus committees and attending professional conferences, workshops, or trainings to support continuous improvement and alignment with industry best practices.
Minimum Qualifications:
Bachelor's or Master's degree and 2+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
Experience planning, coordinating, or managing meetings, conferences, conventions, special events, or facility reservations in a higher education, hospitality, conference center, student union, or similar event-driven environment.
Demonstrated ability to independently assess event requirements, identify logistical challenges, and develop effective solutions while balancing customer needs, operational capabilities, and institutional policies.
Bachelor's degree in Event Management, Hospitality Management, Business Administration, Higher Education Administration, Communications, or a related field.
Experience advising clients, stakeholders, or campus partners on event planning processes, venue selection, event logistics, and compliance requirements.
Strong written and verbal communication skills with the ability to effectively communicate with varied stakeholders and deliver high-quality customer service.
Special Instructions to the Applicants:
The anticipated hourly rate for this position is $23.33. The final rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
Position requires a valid Class E driver’s license. The position may involve driving to various locations on and off campus to conduct University business.
