Join us as a Sr Administrative Associate to provide administrative support to our Staff Legal offices.
The Sr Administrative Associate provides legal administrative support for multiple Attorneys, maintaining a close and highly responsive relationship to the day-to-day activities of the assigned Attorney(s). Exercises initiative and judgment relative to the role. Works collaboratively in a team-based environment with all internal Legal Departments.
Responsibilities
- Office Procedures and Document Management: Demonstrate a strong understanding of office procedures and standards within the jurisdiction, efficiently managing legal documents and implementing effective research strategies to support attorneys, pleadings completion with jurisdictional requirements.
- Support for Ongoing Cases: Address the needs of attorneys by coordinating tasks related to ongoing cases, such as scheduling depositions and communicating with insured parties.
- Risk Mitigation: Proactively identify and mitigate potential operational risks by leveraging knowledge of office management objectives and procedures, ensuring smooth workflows and case progression.
- Client and Stakeholder Coordination: Work closely with clients, stakeholders, and attorneys to represent departmental interests, coordinating meetings and ensuring all parties are informed and aligned on case matters.
- Clear and Impactful Communication: Convey information and messages clearly and professionally, adapting communication styles as needed to support litigation goals and foster collaboration among team members.
- Technological Proficiency and Adaptation: Utilize office software, databases, and case management programs effectively to manage case files and organize data, while continuously learning and adopting new technologies to enhance work efficiency.
- Project Coordination and Resource Allocation: Take responsibility for administrative activities related to attorney case load, including depositions and calendar events.
- Regular Communication with Claims Partners: Communicate regularly and effectively with Claims partners on scheduling and updates, ensuring clear articulation of information through written and verbal correspondence.
Qualifications
- Minimum of 2 years of legal administrative experience or equivalent training.
- Knowledge of administrative hearings, court rules, and procedures.
- Knowledge of legal terminology and syntax, and of the content, organization, and format of legal documents and correspondence.
- Ability to edit and proofread legal documents.
- Ability to prioritize effectively while anticipating attorney and/or file needs.
- Strong oral and written communication skills to communicate effectively with policyholders, courts, attorneys, and judges.
- Displays strong Microsoft Office skills and high proficiency using legal software systems.
