About the Role
We are looking for a detail-oriented and process-driven Sales Administration Executive to join our TrueSight & Adoption team based in Kuala Lumpur. This role sits within the centralised APAC Order Intake function, led by Mabel Man, and services all APAC SoftCos including Payroll, ERP, and Accountants.
This is not a traditional outbound sales role. You will be the operational engine behind high-volume, transactional commercial activity — ensuring orders are processed accurately, contracts are managed efficiently, and commercial opportunities surfaced through data are followed up and closed. The role is an ideal foundation for a career in Account Management or Digital Sales.
Key Responsibilities:
Order Intake & Processing
- Process and manage high-volume, low-complexity commercial orders across all APAC SoftCos — including additional users, licence upgrades, module add-ons, ESS access, storage upgrades, and archive/read-only requests.
- Generate accurate quotes in Salesforce and follow up promptly to ensure timely closure.
- Manage recontract paperwork and administrative term variations in collaboration with the broader sales and adoption team.
- Ensure all orders are correctly attributed and recorded in Salesforce with full CRM compliance.
- Handle read-only and archive access requests as a defined scope item for this function.
Proactive Campaign Execution
- Execute calendar-driven outreach campaigns in partnership with marketing — including EOFY, tax time, and peak season campaigns targeting existing clients.
- Work from Salesforce data and TrueSight intelligence to identify and action commercial opportunities within the existing client base.
- Follow up on open quotes and stalled low-complexity opportunities to drive closure.
- Identify leads from Salesforce cases and route qualified opportunities appropriately.
Administration & Data Integrity
- Maintain accurate and up-to-date customer and sales data in Salesforce.
- Support with customer queries relating to billing, portals, contracts, or general service questions.
- Provide day-to-day operational support to the broader TrueSight & Adoption team.
- Escalate any order requiring commercial negotiation, pricing uplift, or cross-sell discussion to the appropriate Commercial Manager or team lead.
Skills and Qualifications
- Proven experience in sales administration, customer service, or a similar operational role.
- Strong organisational skills with excellent attention to detail.
- Comfortable working with Salesforce or similar CRM systems (preferred but not essential).
- Strong written and verbal communication skills in English.
- Professional phone manner; comfortable making outbound follow-up calls to existing clients.
- Ability to manage multiple tasks and prioritise in a fast-paced environment.
- Customer-focused mindset with a proactive, process-driven approach.
- Interest in building a career in account management or digital sales.
