What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. OVERVIEW
This position is organizationally located within the Personal Property Management Division, Office of Contracting and Personal Property Management (OCon&PPM), under the Under Secretary for Finance and Administration at the Smithsonian Institution (SI).
The Smithsonian Institution (SI) is a diverse museum and research complex dedicated to the increase and diffusion of knowledge. The Office of Contracting and Personal Property Management (OCon&PPM) is responsible for the planning, management, and execution of SI’s contracting, simplified acquisition, personal property management, and travel programs, as well as the associated policies and training initiatives.

The Office of Contracting and Personal Property Management (OCon&PPM) is responsible for the planning, management, and execution of SI’s contracting, simplified acquisition, personal property management, and travel programs, as well as the associated policies and training initiatives.
The Warehouse Section position serves as a Materials Handler responsible for receiving, storing, assembling, issuing, shipping, distributing, delivering, and picking up a wide range of supplies, equipment, and materials in support of Smithsonian operations.
DUTIES AND RESPONSIBILITIES
- Determines how materials and items should be organized and arranged within assigned storage areas in accordance with established warehouse plans. Ensures items are stored to maximize accessibility and efficiency of movement while protecting them from damage, deterioration, and theft. Exercises judgment in setting up, relocating, and utilizing additional storage locations as needed, and in consolidating and arranging materials to maintain clear aisles, safe traffic flow, and orderly storage conditions.
- Receives, unloads, and processes incoming shipments, and prepares receiving reports for purchased items. Reviews and obtains information from shipping and receiving documents, such as waybills, Government Bills of Lading, and carrier arrival notices. Verifies that shipments are unloaded in the appropriate sequence and designates locations for staging and inspection to ensure accurate receipt and accountability of materials.
- Selects, assembles, and prepares materials and equipment for shipment. Segregates and transports items to designated holding areas based on factors such as shipment priority, material type, and destination requirements. Coordinates the issuance and shipment of materials, and when shortages or discrepancies are identified, contacts vendors to obtain status information and facilitate timely resolution.
- Affixes SI property tags (bar code labels) to all capitalized and sensitive property when received. Enters property data and receiving reports electronically into the ERP system. Processes incoming excess personal property.
- Conducts inventories and determines the basis for overage, short or misplaced items by checking stock status information in issue requests, receiving and shipping reports and locator records. Uses the computerized inventory system regularly by entering data and during inventories to ensure accuracy of data.
- Plans and carries out work on the basis of issue request documents, shipping and receiving reports and other written material and oral instructions provided by the supervisor.
- Receives information on any changes in the general warehousing plan or established requirements for performing the work through discussions with – or from written instructions from – the supervisor.
- Carries out the sequences of assigned functions without instructions on how to do the work.
QUALIFICATION REQUIREMENTS
Experience required for this position is as follows:
- A valid driver’s license must be maintained as a condition of employment.
- Must be able to read and write effectively, perform basic arithmetic calculations, and maintain routine records and inventory documentation. This includes accurately tracking materials, updating inventory records, and preparing or reviewing basic warehouse-related reports and documentation.
- Knowledge of established warehouse operations, including overall warehouse planning, documentation requirements, inventory control procedures, and accepted warehousing methods. Familiarity with warehouse safety regulations, material handling practices, storage techniques, and shipping and receiving procedures to ensure the efficient, safe, and accurate movement and accountability of supplies, equipment, and materials.
- Ability to work independently while serving as the primary Materials Handler, exercising sound judgment in carrying out day-to-day warehouse operations with minimal supervision. Capable of prioritizing and completing assignments, resolving routine issues, maintaining accurate records, coordinating receiving and shipping activities, and ensuring the timely and efficient movement, storage, and distribution of materials and equipment.
- Ability to lay out storage space and establish item and material locations in accordance with SI regulations
- Ability to use a computerized inventory system prepare inventory reports, screen and identify shipping and receiving documents for discrepancies, and direct shipments to shipping or storage areas.
- Skilled in the use of a full range of manual and motorized or automated equipment used to store and move items.
- Requires availability for domestic travel of up to 10 percent. Must be available to work regular and recurring overtime as operational needs require. The position requires working outdoors in all types of weather conditions and performing physically demanding duties, including prolonged standing, bending, stooping, and working in awkward or confined positions. The incumbent must be able to lift and carry up to 50 pounds without assistance.
- In accordance with Smithsonian Directive (SD) 218 and Department of Transportation (DOT) regulations, the incumbent is subject to pre-employment, random, post-accident, return-to-duty, and reasonable suspicion drug and alcohol testing.
Education completed outside the United States must be deemed equivalent to higher education programs of U.S. Institutions by an organization that specializes in the interpretation of foreign educational credentials.
