Full-Time | In Office | South Edmonton | Temporary to Permanent Opportunity

The successful candidate will play an important role in managing contracts and supporting commercial activities across the project lifecycle. This is an excellent opportunity for an experienced Contract Administrator who enjoys working in a fast-paced environment, takes ownership of their work, and is known for being highly process-driven and a true stickler for the details.

 

Key Responsibilities

As the Contract Administrator, you will support the full contract lifecycle, from sourcing and RFP development through contract award, negotiation, and post-award contract management. You will work closely with internal stakeholders, vendors, and project teams to ensure contracts are commercially sound, properly documented, compliant, and aligned with project requirements.

 

Sourcing & Contract Development:

 

  • Facilitate sourcing activities from RFP development through contract award, including proposal evaluation, award recommendations, commercial negotiations, and contract drafting.
  • Review, draft, and modify contract terms and conditions, procurement arrangements, service contracts, and vendor agreements.
  • Work with internal stakeholders to develop contract and sourcing plans aligned with project requirements and best practices.

 

Contract Administration & Management:

 

  • Manage contracts throughout their lifecycle, including attending or facilitating meetings, coordinating change management processes, tracking deliverables, and ensuring contractual compliance.
  • Assist with claims and dispute resolution as required, helping to identify and address commercial issues in a timely manner.
  • Create and maintain purchase orders that accurately reflect the commercial terms of associated contracts.
  • Develop a strong understanding of project requirements to ensure contracts are fit for purpose and aligned with applicable policies and mandates.

 

Documentation & Stakeholder Support:

 

  • Maintain accurate, organized, and comprehensive contract files and records to ensure documentation is readily available for reference and audit purposes.
  • Collaborate with internal stakeholders, vendors, and project teams to ensure contractual obligations and deliverables are clearly understood and managed.
  • Prepare and maintain comprehensive reports to support informed business decisions and provide visibility into contract activities.

 

Qualifications


To succeed in this role, candidates should demonstrate:

 

Education & Experience:

 

  • 5+ years of Contract Administration experience within the mining, heavy equipment, or construction industry.
  • Direct Contract Administration experience within the mining or heavy equipment sector is required.
  • Post-secondary education in Business Administration, Commerce, Finance, Law, or a related field is preferred.
  • Experience with contract sourcing, RFPs, negotiations, contract drafting, and post-award contract management.

 

Technical Skills:

 

  • Strong understanding of contract law, legal terminology, regulatory requirements, and purchasing practices related to tenders and RFPs.
  • Experience working with ERP systems; SAP/S4HANA experience is considered an asset.
  • Proficiency with Microsoft Office, including Word, Outlook, Excel, MS Project, and Teams.
  • Strong ability to review contractual documentation and identify discrepancies, risks, and areas requiring attention.

  • Proactive, accountable, and comfortable taking ownership in a fast-paced project environment.
  • A team player who enjoys working in a small, collaborative environment and contributes to a positive team culture.
  • Willingness to travel to project sites occasionally, as required.

 

Additional Details:

 

  • Location: South Edmonton, close to the International Airport
  • Schedule: Monday to Friday
  • Work Arrangement: Fully in-office; there is no work-from-home component for this Edmonton-based position.
  • Contract: 6 months with potential for permanent employment
  • Travel: Minimal travel to project site may be required
