About the Role
Permanent full-time position as a Department Administration Assistant based at The Salvation Army Headquarters in Blackburn, Melbourne, working from the office Monday to Wednesday and from home Thursday and Friday.
This is a unique opportunity to join a shared-services team supporting both Salvos Housing and Employment Plus. Working closely with leaders across both divisions, you'll enjoy a varied role spanning administration, onboarding, events, project support, financial administration and business operations.
No two days will be the same. You'll play an important role behind the scenes, ensuring teams are supported, processes run smoothly, and key initiatives are delivered successfully.

Responsibilities
- Provide administrative support including the preparation of reports, presentations, meeting agendas, minutes and communications
- Manage document control, electronic records, shared inboxes, correspondence and filing systems
- Coordinate onboarding activities for new team members, including IT access, equipment, inductions and workspace setup
- Support recruitment administration and employee-related initiatives
- Process invoices, financial documentation, expense reconciliations and travel bookings
- Assist with the planning and delivery of conferences, leadership forums, workshops, town halls and team events
- Maintain administrative systems, records and reporting requirements
- Contribute to process improvements and initiatives that enhance team effectiveness and operational efficiency
About You
- Previous experience in an administration, office support or coordination role
- Strong organisational skills with excellent attention to detail
- Ability to manage competing priorities and meet deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Intermediate to advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook
- Experience using administrative systems and maintaining accurate records
- A proactive and collaborative approach, with the ability to build positive relationships across diverse teams
- Experience with Power BI, Copilot or other emerging technologies will be highly regarded
- Certificate IV in Business Administration (preferred but not essential)
