About the Role

We are seeking a Provincial Sales Coordinator to own the execution of the provincial submission and listing process for approved products across Canada. This role serves as a key execution point for provincial submissions, ensuring product details, assets, data, and supporting documentation are complete, accurate, and aligned with provincial requirements.

Reporting to the Director, Sales Strategy & Commercialization, the Provincial Sales Coordinator drives submission timelines, manages provincial data and tools, executes listing changes, and provides visibility into provincial submission and launch readiness.

This is a hands-on role that requires strong organization, accuracy, and attention to detail, with the ability to manage multiple priorities and deliverables while working effectively across functions.

Responsibilities

Provincial Submissions & Listings

  • Own province-specific workback plans, including submission requirements, milestones, dependencies, and deadlines.
  • Lead submission readiness by ensuring product details, creative assets, pricing, and supporting documentation are completed against Provincial Board-specific forms and templates.
  • Create and maintain GTINs and GS1 account information to support provincial listings.
  • Drive follow-up on required inputs and outstanding actions with relevant stakeholders to keep submissions on track
  • Support pre-sell activities by coordinating product information, assets, materials, and samples required for pre-sell decks and other provincial sales materials ahead of submission.

Data Integrity, Tools & Changes

  • Own day-to-day data entry and maintenance for the New Product Development tracker and support Provincial Master Data maintenance, ensuring records are complete, accurate, and up to date while coordinating corrective actions as needed.
  • Execute provincial listing revisions resulting from internal updates or from Provincial Boards and industry regulators, ensuring affected details are accurately reflected.
  • Support tracking of SKU run-out activities and coordinate related provincial listing updates and communications.
  • Maintain the Provincial Playbook as a central knowledge resource, ensuring Provincial Board manuals and related materials are current, organized, and accessible.

Communications & Reporting

  • Own provincial submission and listing status tracking, providing visibility into upcoming activity, progress, submitted products, product changes, outstanding inputs, open actions, and readiness through first shipment.
  • Support internal communication of high-level provincial launch readiness for all accepted provinces ahead of first shipments, providing visibility into timing, outstanding actions, and readiness across markets.
  • Manage communication with any listing updates/changes directly with the Provincial Managers to ensure effective communication is maintained with our Provincial Board customers across the country.
  • Coordinate and lead stakeholder meetings as needed to align activities, deliverables, timelines, and next steps, escalating issues that may affect execution.
  • Prepare clear status updates and reporting to support cross-functional visibility and follow through.

Qualifications

  • 2+ years of experience in sales, commercialization, product coordination, quality, regulatory, or a related role within cannabis, CPG, beverage alcohol, pharmaceutical, or another regulated industry.
  • Experience creating and managing workback plans while balancing multiple priorities and deadlines.
  • Strong proficiency in Microsoft Office, particularly Excel and Lists.
  • Knowledge of Canadian cannabis regulations, provincial listing processes, and GS1 requirements is an asset.
  • Post-secondary education in a related field is an asset.
  • Bilingual French is an asset but not required.
  • Highly organized and detail-oriented, with a strong focus on accuracy and precision.
  • Proactive and resourceful, identifying gaps, raising issues, and driving resolution.
  • Clear and effective communicator, able to provide concise updates, manage follow-ups, and keep stakeholders aligned.
  • Adaptable and comfortable managing competing priorities in a fast-paced, dynamic environment.
