Position Overview

The Shipping Supervisor Assistant will oversee workers who confirm and record the receipt of shipments, prepare items for shipping and load and unload trucks. The Assistant Supervisor will also be responsible for overseeing the inter-departmental transport of materials.

Duties and Responsibilities

  • Develop an effective and efficient structure in the shipping area that promotes shipment accuracy and minimizes the handling of product
  • Train and mentor a team of loaders and separators that improves employee retention and consistency. Train an assistant load builder as backup.
  • Work with other Shipping Supervisors to improve the transportation of product between buildings
  • Create an environment that stresses and enforces safety
  • Coordinate work engaged in verifying and keeping records on incoming and outgoing shipments and prepare items for shipment: Study shipping notices, bills of lading, invoices, orders and other records to determine shipping priorities, work assignments and shipping methods required to meet shipping and receiving schedules, utilizing knowledge of shipping procedures, routes and rates
  • Oversee incoming and outgoing shipping activities to ensure accuracy, completeness, timeliness and condition of shipments
  • Determine space requirements, position of shipment in trucks and lay out position of shipment
  • Determine routing and legal load limits of trucks, according to established schedules and weight limits of states
  • Inspect loading operations to ensure compliance with shipping specifications
  • Prepare bills of lading
  • Assist workers in shipping and receiving activities
  • Inspect material handling equipment for defects and notify maintenance personnel or contacts outside service facility for repair
  • Backup the Shipping Supervisor in their absence
  • Determine work procedures, prepare work schedules and expedited workflow
  • Assign duties and examine work for quality and conformance to policies and procedures
  • Prompt and regular attendance at an assigned work location.
  • Interact and communicate with employees and customers in an appropriate manner.
  • Availability on site to confer with staff members with whom the employee must interact on a regular basis.
  • Communicate via email and prepare reports
  • Review and analyze data and loading information
  • Plan, prioritize and monitor shipping activities.

Supervisory Responsibility

No direct management or supervisory responsibilities.

Safety

Observe safety and security policies and procedures, including proper use of PPE (personal protective equipment); report potentially unsafe conditions; and use equipment and materials properly. Follow job-specific safety requirements including Safe Product Handling, Safe Lift, Safe Forklift and Pallet Jack Operation.

Travel

Minimal travel required to other Quaker campuses to backup other areas.

Qualifications

An individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Proficient with Microsoft Office software: Excel, Word, Outlook
  • Proficient Knowledge of How to Load Trucks, How Quaker's Scanner Works and How to Properly Handle Products
  • Proficient Knowledge of How to Run Reports and Exceptions
  • Proficient Knowledge of Quaker's Green Screen System
  • Acquire and Maintain Forklift Certification
  • Acquire and Maintain Pallet Jack Certification

Preferred Education and Experience

The expectation is that the individual has achieved a minimum level of education and/or related expertise to qualify for this position.

  • High school diploma or a passed General Education Development test preferred
  • Minimum 2 Years of Experience in Shipping or
  • Minimum 3-4 Years of Experience as an Assistant or Team Lead in Production

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday during normal business hours. Evening and weekend work may be required to have outgoing trucks loaded and ready for drivers.

  • Regularly lift and/or carry objects weighing up to 25 pounds, and occasionally lift and/or move more than 125 pounds through team lifting;
  • Work shifts of at least 8 hours, and occasionally longer, for 5 days each week;
  • Occasionally required to bend, climb or balance; and stoop, kneel, crouch or crawl as necessary
  • Stand for prolonged periods; and
  • Work in a constant state of alertness and in a safe manner.

Vision abilities required by this job may include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment

While performing the duties of this job, the employee is exposed to climactic variations, fumes or airborne particles, various levels of vibration, and moving mechanical parts. Various different types of Personal Protective Equipment might be required based on the employee's work location. The noise level in the work environment may require hearing protection.
