Our Fort Washington, PA office has an exciting opportunity for a Client Service Associate! As the primary point of contact for clients, this role is instrumental in fostering a welcoming office environment and delivering an exceptional client experience. The Client Service Associate provides comprehensive administrative and operational support to financial advisors, coordinates meetings and communications, manages account and service requests, and ensures seamless day-to-day office operations.
This role is an On-site position.
In the spirit of pay transparency, we are excited to share the hourly rate for this position is $24 to $28 per hour, depending on experience.
Primary Job Functions
Reception and Office Support
Greet clients and ensure the office is clean and welcoming
Schedule meetings with product vendors and sponsors
Manage and distribute mail and coordinate overnight deliveries
Order office marketing materials and printer supplies; coordinate printer maintenance with vendors and Technology
New Client Onboarding
Ensure accurate completion of prospect and new client paperwork and setup
Follow up on funds transfers from surrendering companies
Maintain the CRM database and client files, including filing, copies, and data input
Research and follow up on issues with the Broker/Dealer, WEG Operations, and vendors
Record incoming assets to the appropriate tracking tool
Client Relationship Management
Engage with clients to understand their personal history and current financial needs
Prepare account transactions, trades, deposits, withdrawals, and required minimum distributions (RMDs)
Communicate to understand client requests, resolve issues directly or escalate to advisors as appropriate, including death claim processing
Collaborate with clients' tax or legal counsel as needed
Client Review Preparation and Follow-up
Gather client data and prepare materials for meetings and reviews
Conduct tax research, such as for IRS Forms 1099
Complete follow-up actions resulting from client reviews
Industry, Product, and Company Knowledge
Demonstrate knowledge of and adherence to WEG's Suitability Guidelines, operational processes, and sales model
Understand financial terminology and product offerings
Maintain working proficiency with annuities, mutual funds, separately managed accounts, fixed income, stocks, options, alternative investments, hedge funds, and charitable giving practices
Attend client services and company educational events; may attend vendor presentations
Team and Corporate Support
Assist advisor team operations to streamline processes
Complete operational projects to support enhancements and changes
Communicate process and sales updates to the team
Mentor and train Client Service Associates
Manage vendors to Service Level Agreements
All other duties as assigned.
Education/Qualifications
Bachelor's degree (or equivalent experience) in a relevant discipline
Customer service training, knowledge, or experience
Interest in learning financial concepts and products
Ability to work with deadlines, remain flexible under pressure, and prioritize work
Ability to work collaboratively as a team member
Ability to learn WEG's sales model and WEG/LPL processes and procedures
Ability to learn financial product features and riders
Ability to learn the client review process and its completion
Strong attention to detail and effective problem-solving skills
Superior verbal and written communication skills
Proficiency with Microsoft Office Suite or related software
Familiarity with Salesforce and Support Org functionality
Experience with Workday preferred
Demonstrated ability to effectively use AI tools and technologies in daily work, including crafting prompts, evaluating AI-generated content, and integrating AI tools to enhance productivity while maintaining quality standards
Comfort with learning new AI applications and adapting to evolving AI tools and methodologies
WEG hires employees and makes decisions about their salary qualifications based on factors such as the role to be performed; educational and professional experience, qualifications, skills and credentials; tenure, cost-of-living and demand for the role in the applicable market. To comply with state, pay transparency laws, we must disclose the entire salary grade. The entire salary grade for those who are classified as this level is $42,500 - $63,750. However, the base salary range bolded above ($24 to $28 per hour) is what we expect to pay as a starting range for this position.
