Role Overview
The Assistant Manager – Liaison oversees motorcycle registration and government-related transactions, including renewals, permits, licenses, OR/CR processing, and plate issuance. The role coordinates with the Land Transportation Office (LTO) and other government agencies to ensure timely processing, regulatory compliance, and accurate documentation. The position also supports team supervision, process improvement, and stakeholder management across branches and internal departments.
Qualifications
- Bachelor's degree in Industrial Engineering, Business Administration, Public Administration, or a related field.
- At least 3 years of relevant experience in liaison work, government transactions, vehicle registration, administration, or a related function.
- At least 1–2 years of supervisory or team leadership experience is preferred.
- Familiarity with LTO processes, particularly motorcycle registration, OR/CR processing, plate issuance, permits, licenses, and renewals, is an advantage.
- Strong coordination, stakeholder management, documentation, and problem-solving skills.
- Highly organized, detail-oriented, and results-oriented, with the ability to manage multiple transactions and deadlines.
- Proficient in Microsoft Office applications, preferably at an intermediate level or higher.
- Effective communication and interpersonal skills, with the ability to coordinate with employees, branches, suppliers, customers, and government representatives.
- Willingness to travel to branches, regional offices, and government agencies as needed.
- Valid driver's license is an advantage.
Key Responsibilities
- Plan, organize, and monitor motorcycle registration, OR/CR, plate, permit, license, and renewal processing activities.
- Coordinate with the LTO and other government agencies on registrations, renewals, inspections, audits, and regulatory requirements.
- Monitor pending transactions and documentation to ensure timely completion within established service timelines.
- Stay updated on LTO policies, procedures, regulations, and announcements, and communicate relevant changes to concerned departments and branches.
- Serve as a key liaison for LTO-related inquiries, documentation requirements, and registration concerns.
- Support the development and implementation of policies and procedures to strengthen regulatory compliance and operational efficiency.
- Identify processing delays, documentation gaps, and recurring issues, and recommend improvements to registration and liaison processes.
- Coordinate closely with Accounting, Sales, Operations, Audit, Merchandising, suppliers, branches, and other stakeholders to facilitate registration-related transactions.
- Assist in monitoring budgets, petty cash, travel requests, and payments associated with registration and government transactions.
- Review reports, records, and supporting documents to ensure accuracy, completeness, and proper documentation.
- Supervise, coach, and monitor Liaison team members, including performance tracking and KPI management.
- Assist in resolving registration disputes, customer concerns, branch issues, and other regulatory matters.
- Ensure proper handling and confidentiality of company funds, documents, records, and sensitive information.
- Conduct branch and regional visits as needed to assess compliance, monitor processes, and ensure proper implementation of procedures.
