Role summary:The (USA) Executive Assistant plays a critical role in supporting leadership by managing complex calendars, coordinating projects, and organizing business-related events with minimal supervision. This position requires effective communication, administrative expertise, and the ability to anticipate and prioritize needs to optimize leadership time. The role involves handling confidential information, preparing reports, managing expense processes, and serving as a liaison for associates and guests. The Executive Assistant contributes to operational efficiency by applying business knowledge, fostering collaboration, and supporting continuous improvement initiatives aligned with company values and objectives.
About the team:
The Executive Assistant role supports the end-to-end field and club support for Sam’s Club People Leadership Team. This team coordinates complex schedules, manages communications, and facilitates efficient operations to enable leadership success. They collaborate across departments to organize events, handle administrative tasks, and provide critical business data management. The team values clear communication, process improvement, and proactive problem-solving to support organizational goals. By fostering strong partnerships and maintaining confidentiality, they ensure smooth workflows and contribute to a productive and professional environment aligned with company standards and objectives.
What you'll do:
- Coordinate and schedule projects, events, and meetings with minimal supervision, ensuring efficient use of resources and timelines.
- Manage calendars for leadership and teams, prioritizing appointments and anticipating preparation needs.
- Draft, review, and send communications on behalf of leadership, maintaining professionalism and accuracy.
- Compile, forecast, and reconcile financial and business data, creating reports and identifying risks.
- Serve as a liaison for associates and guests, facilitating information flow and resolving requests.
- Support process improvements and organizational changes by applying business knowledge and best practices.
- Maintain confidentiality and compliance with company policies and ethical standards.
What you'll bring:
- Proven experience in calendar management and coordinating complex schedules with minimal supervision.
- Strong organizational skills with the ability to prioritize and manage multiple tasks efficiently.
- Excellent communication skills, including drafting and editing professional correspondence for leadership.
- Proficiency in administrative support functions such as travel arrangements, expense reporting, and office administration.
- Ability to gather, analyze, and report business and financial data accurately using reporting tools.
- Demonstrated capability to build relationships and collaborate effectively with stakeholders.
- Commitment to maintaining confidentiality and adhering to company policies and ethical standards.

The annual salary range for this position is $45,000.00 - $80,000.00 Additional compensation includes annual or quarterly performance bonuses. Additional compensation for certain positions may also include Regional Pay Zone (RPZ) (based on location).
