Role Overview


We are seeking a bilingual (English/Spanish) Patient Advocate I to join our Patient Advocacy Team at our headquarters in San Antonio, TX. This role serves as a primary point of contact for assigned patients throughout their course of treatment and is responsible for coordinating care, facilitating communication, monitoring treatment recommendations, and promoting continuity of care.


The Patient Advocate  works closely with patients, physicians, advanced practice providers, ancillary service providers, insurance carriers, referral sources, and internal departments to help ensure recommended services are coordinated and completed in a timely manner.

Schedule: Full-Time | Monday–Friday, 8:00 AM – 5:00 PM

Location: Onsite | North San Antonio, TX (Airport Area)

Dress Code: Scrubs or business casual


Key Responsibilities

  • Serve as a primary point of contact for assigned patients throughout their course of treatment
  • Manage an assigned patient caseload while monitoring the progress of treatment plans and recommended services
  • Coordinate and schedule diagnostic testing, imaging, physical therapy, specialty referrals, interventional procedures, and other recommended services
  • Facilitate communication between patients, physicians, advanced practice providers, ancillary service providers, referral sources, insurance carriers, and internal departments
  • Communicate appointment information, treatment recommendations, authorization status, and follow-up instructions to patients in a timely and professional manner
  • Monitor outstanding referrals, diagnostic testing, authorizations, and treatment recommendations to support timely completion and continuity of care
  • Process referrals, authorizations, medical records, and other patient-related documentation in accordance with departmental procedures
  • Maintain accurate, complete, and timely documentation of patient interactions within the Electronic Medical Record (EMR)
  • Review patient records to help ensure documentation is accurate, complete, and compliant with Company standards
  • Respond promptly and professionally to inquiries from patients, providers, insurance carriers, referral sources, attorneys, employers, and other authorized parties
  • Collaborate closely with clinical and administrative teams to identify and resolve barriers to patient care
  • Maintain clear, professional, and compassionate communication with patients throughout the care coordination process
  • Uphold HIPAA requirements and protect patient confidentiality and Protected Health Information (PHI) at all times
  • Maintain established productivity, quality, customer service, attendance, and punctuality standards
  • Participate in departmental meetings, training programs, and quality improvement initiatives as assigned
  • Support overall workflow efficiency and patient satisfaction within the Patient Advocacy Team
  • Perform other job-related duties and special projects as assigned by management

Requirements

Qualifications and Requirements

  • High school diploma or General Education Diploma (GED) required
  • Bilingual in Spanish and English required, with strong verbal and written communication skills in both languages
  • One (1) year of experience in healthcare, patient advocacy, care coordination, medical scheduling, customer service, or a related field preferred
  • Prior experience with patient scheduling, referrals, authorizations, or healthcare coordination preferred
  • Experience working with Electronic Medical Record (EMR) systems
  • Familiarity with Athena or a similar EMR system preferred
  • Knowledge of medical terminology and healthcare workflows preferred
  • Knowledge of insurance verification, referral, and prior authorization processes preferred
  • Experience in pain management, orthopedics, neurology, physical medicine and rehabilitation, or another specialty medical practice preferred
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel
  • Strong organizational, time-management, and multitasking skills
  • Excellent communication, interpersonal, and customer service skills
  • Strong attention to detail and commitment to accurate documentation
  • Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced healthcare environment
  • Strong critical-thinking and problem-solving abilities
  • Ability to maintain confidentiality and appropriately handle Protected Health Information (PHI)
