Description
We are seeking an experienced, confident, and highly organized Office Manager to take full ownership of the day-to-day running of the office.This is a hands-on leadership role for someone who is proactive, decisive, and comfortable taking charge. The successful candidate will be responsible for ensuring the office operates efficiently, professionally, and to consistently high standards.You will be expected to establish structure, maintain accountability, solve problems quickly, and ensure that policies, procedures, and expectations are followed. You should be confident in managing an experienced team, addressing issues when they arise, and earning respect through professionalism, consistency, and strong leadership.This role is suited to someone who does not wait to be told what needs to be done, but naturally identifies what needs attention and takes ownership of getting it done.
Key Responsibilities
Office Management & Operations
- Take overall responsibility for the smooth and efficient day-to-day operation of the office.
- Establish and maintain clear office procedures, systems, and standards.
- Ensure the office environment is professional, organized, well-maintained, and appropriately resourced.
- Monitor office supplies, equipment, facilities, and service providers.
- Coordinate administrative processes and ensure deadlines and operational requirements are consistently met.
- Identify operational issues proactively and take appropriate action to resolve them.
- Maintain accurate records, documentation, and office-related information.
- Coordinate with external vendors, contractors, landlords, and service providers as required.
Team Management & Accountability
- Provide day-to-day leadership and direction to office and administrative staff.
- Set clear expectations and ensure team members understand their responsibilities.
- Monitor performance, attendance, punctuality, and adherence to company procedures.
- Hold team members accountable for agreed standards, deadlines, and deliverables.
- Address performance or conduct issues promptly, professionally, and fairly.
- Foster a culture of responsibility, discipline, professionalism, and teamwork.
- Lead by example and maintain a calm, confident presence, particularly when dealing with challenging situations.
- Support the development and performance of team members through regular feedback and guidance.
Administration & Coordination
- Oversee administrative workflows and ensure tasks are completed accurately and on time.
- Manage calendars, meetings, correspondence, documentation, and internal communications where required.
- Coordinate meetings, office events, visitors, and other administrative activities.
- Ensure important information is communicated effectively across relevant teams.
- Maintain confidentiality when handling sensitive company, employee, client, or management information.
- Support senior management with administrative and operational requirements.
Standards, Compliance & Controls
- Ensure company policies and procedures are consistently implemented.
- Maintain high standards of professionalism, organization, presentation, and workplace conduct.
- Ensure administrative records and documentation are complete, accurate, and properly maintained.
- Assist with internal controls, audits, reporting, and compliance requirements where applicable.
- Identify gaps in processes and recommend practical improvements.
Problem Solving & Continuous Improvement
- Take ownership of problems rather than simply escalating them.
- Assess situations quickly and make sound, practical decisions.
- Introduce systems and processes that improve efficiency and accountability.
- Anticipate operational needs and address issues before they become significant problems.
- Continuously look for ways to improve the way the office operates.
Qualifications & Experience
- Bachelor’s degree or equivalent qualification in Business Administration, Management, Human Resources, or a related field preferred.
- 5+ years of relevant experience in office management, administration, operations, or a similar leadership role.
- Demonstrated experience managing or supervising staff.
- Proven ability to establish structure, systems, and accountability within an office environment.
- Experience dealing with vendors, service providers, facilities, and office operations.
- Strong proficiency in Microsoft Office or equivalent productivity tools.
- Excellent written and verbal communication skills.
- Comfortable having difficult conversations when necessary.
