Who we are looking for:

First Eagle is seeking an organized and proactive Operations Specialist to join the Shareholder Services team. Shareholder Services supports the US and internationally registered funds covering the full lifecycle of investment accounts.  The ideal candidate will be based in New York, NY or Columbus, OH and will be responsible for the duties below and have the following qualifications for this role:

What you will do: 

Transfer Agent & Distribution Oversight

  • Audit & Compliance: Oversee and test policies for processing, call centers, and compliance; monitor blue sky registrations and manage 22c2 market timing reviews

  • System Initiatives: Support TA enhancements and system applications across all First Eagle product types..

  • Operational Coordination: Manage operational changes with TA and distribution partners, ensuring all updates and corporate actions (via DTCC’s Mutual Fund Profile Service (“MFPS“) and Mutual Fund Information Exchange “MFIX”) meet strict effective dates.

  • Fund Distributions: Coordinate the delivery of periodic distributions, annual capital gains, and dividends in partnership with Fund Administration.

Administrative & Shareholder Services

  • Regulatory Filings: Manage the production and mailing of shareholder prospectuses and annual reports; oversee print vendor relationships and website updates.

  • Sales Support: Act as a resource for Retail, Institutional, and Retirement teams regarding prospectus eligibility, onboarding, and platform distribution queries.

  • Documentation: Maintain account applications and investor materials; update internal process workflows and procedure manuals.

  • Project Management: Use tools like Monday.com to track projects and ensure the team hits critical deadlines.

Reporting & Analysis

  • Trade Notifications: Consolidate and disseminate large trade notices to Portfolio Managers.

  • Tax & Board Reporting: Assist with ICI standardized reporting and tax output reviews; prepare materials for Board of Directors meetings.

  • General Support: Handle audit requests, invoice processing, and recurring monthly/quarterly reporting for internal and external stakeholders.

The qualities you should have:

Core Requirements

  • Education: Undergraduate degree in Finance, Business, or a related field.

  • Experience: 5+ years of relevant experience within asset management or financial services.

  • Fund Knowledge: Must have mutual fund experience. Preferred experience includes Interval funds, BDCs, ETFs, and Irish investment funds (ICAV).

Technical Skills & Licensing

  • Systems: Knowledge of Transfer Agency applications, specifically SS&C, is preferred.

  • Platforms: Experience navigating wirehouses, IBDs, RIAs, and technology platforms such as iCapital, CAIS, or Subscribe.

  • Certifications: Series 6 and 63 are preferred but not required.

  • Analytical Ability: Strong skills in collecting, organizing, and analyzing complex data sets.

  • Adaptability: Ability to thrive in a fast-paced environment and navigate demanding situations independently while managing multiple deadlines.

Base Salary range: $70,000 to $95,000. In addition, this role is eligible for an annual incentive bonus. Compensation may vary based upon, but not limited to – the individual's skills, experience, qualifications, and internal equity.
